The Role (What You’ll Do)

We are seeking a highly organized, execution-focused Operations Coordinator to support the Managing Partner’s initiatives, working closely with the Chief of Staff to execute on those initiatives. This role blends project coordination, operational execution, and executive support.

The Operations Coordinator will work closely with the Chief of Staff, who manages the bigger-picture planning and ensures the Managing Partner’s priorities are carried out effectively. The Coordinator’s primary responsibility is to execute on these goals — handling the details, logistics, and follow-through that keep projects and operations running smoothly.

This is a hands‑on role for someone who enjoys driving progress, bringing order to complex tasks, and maintaining clarity and organization across fast-moving initiatives.

Key Responsibilities Executive Support
  • Provide direct support to the Managing Partner.
  • Manage and organize the Managing Partner’s emails, communications, and scheduling priorities.
  • Prepare meeting materials, notes, and action items for leadership meetings.
  • Follow up on key deliverables and ensure updates reach the Chief of Staff for reporting and oversight.
Project Coordination
  • Execute operational projects and assignments directed by the Managing partner or the Chief of Staff in alignment with the Managing Partner’s goals.
  • Manage timelines, deliverables, and stakeholder communications for assigned projects.
  • Track progress, troubleshoot obstacles, and ensure commitments are met on schedule.
Operational Execution
  • Take ownership of cross-functional tasks that do not clearly fall within an existing department with direction from the chief of staff.
  • Research vendors, service providers, and software tools.
  • Coordinate external contractors or freelancers when needed.
  • Support office setup, infrastructure coordination, and operational rollouts.
  • Assist with logistics for new initiatives, expansions, or internal improvements.
Administrative & Systems Support
  • Assist with onboarding logistics (technology, workspace setup, coordination).
  • Maintain organized digital files and project documentation.
  • Help standardize processes and improve operational workflows.
What We’re Looking For
  • 2–5 years of experience in operations, project coordination, executive support, or similar roles.
  • Strong organizational skills with extreme attention to detail.
  • Highly proactive — you anticipate needs instead of waiting for instructions.
  • Comfortable operating in ambiguity and building structure where none exists.
  • Comfortable communicating with all levels of an organization.
  • Excellent written and verbal communication skills.
  • Confident and professional on the phone and in person.
  • Strong follow-through — you close loops.
  • Tech-savvy and comfortable learning new systems quickly.
