We are seeking a highly organized and detail-oriented Sales Admin to support our maritime operations. In this role, you will bridge the gap between our sales force and internal departments to ensure seamless processing, production, and delivery of maritime vessels, equipment, or services. You will thrive in a fast-paced, highly regulated industry, utilizing your strong administrative skills to maintain efficiency across the entire sales cycle.
Key Responsibilities- Process and verify sales orders, contracts, and invoices for data accuracy.
- Maintain accurate sales pipelines and customer records in the CRM system.
Prepare sales proposals, bid documents, and technical presentations.
Cross-Functional Collaboration- Program Management:
Assist with project timelines, contract milestones, and sales deliverables to ensure on-time fulfillment. - Planning:
Coordinate with the planning team to align sales forecasts with manufacturing capacity and delivery schedules. - Quality:
Ensure all sales quotes, technical specifications, and final deliveries comply with maritime compliance and quality standards. - Accounting:
Process payments, assist with budget tracking, and collaborate with finance on client invoicing and credit terms.
Procurement:
Monitor inventory levels and coordinate with procurement to source specialized maritime parts or materials required for client orders.
- Serve as a primary point of contact for customer inquiries regarding order status and delivery dates.
Compile, generate, and distribute periodic sales reports and performance metrics for management.
Direct client feedback and technical inquiries to the appropriate department heads.
Qualifications & Requirements- Experience:
2+ years of experience in sales administration, inside sales support, or relevant project-driven administrative roles. - Industry Knowledge:
Familiarity with the maritime, shipping, or heavy equipment industries is a major plus. - Software
Skills:
Proficiency in Microsoft Office Suite (especially Excel) and experience with CRM and ERP software. - Communication:
Exceptional written and verbal communication skills, with a proven ability to collaborate across multiple departments. - Problem-Solving:
Strong organizational skills with the ability to manage competing priorities in a fast-paced environment
