Position: Administrative Coordinator - US

Administrative Coordinator US Rare Disease

Join us as we transform patients’ lives by supporting one of our senior leaders in the Rare Disease Business Unit.

What you will do

Provide complex administrative and operational support to the General Manager (GM) of Ultra‑Rare Medicines and their direct reports (~8) with core responsibilities such as:

Executive Support
  • Ensuring timely coordination of department members’ administrative needs including, but not limited to:
    • Managing multiple and/or complex team calendars & email distribution lists
    • Coordinating domestic and international travel, preparing expense reports, and ensuring compliance with company travel policies and trainings
    • Coordinating end‑to‑end meeting logistics including scheduling, room reservations, catering, technology setup, agenda preparation, and tracking action items
    • Partnering with marketing/sales planning teams on all‑staff and sales meetings to ensure all technical components run smoothly
Communication & Coordination
  • Support preparation of materials for internal meetings, business reviews, and team engagements
  • Prepare, proofread, and format high‑quality communications, presentations, and documents
  • Liaise with cross‑functional partners, executive assistants, and global teams to align schedules and workflows
  • Maintain regular communication with internal stakeholders, managing follow‑ups and flagging action items, partnering with team members to disseminate large communications (organizational announcements, sales/marketing communications, etc.)
Administration Excellence
  • Support team culture initiatives such as team on‑sites and meetings
  • Provide support to marketing with vendor contracting, creating purchase orders, congress support, and basic MAC submissions
  • Provide administrative support for cross‑functional initiatives and special projects as assigned
  • Ensure the team maintains a technology‑forward growth mindset by continuously testing and sharing new technology and/or productivity tools to improve operations
What we expect of you

The administrative professional we seek is someone with these qualifications.

Basic Qualifications
  • Associate’s degree and 2 years of administrative experience OR
  • 2 years in a technical school setting with hands‑on experience OR
  • High school diploma / GED and 4 years of administrative experience
Preferred Qualifications
  • 5+ years experience in an administrative support role
  • Strong knowledge of technology, including Outlook, Excel, PowerPoint skills and use of AI tools such as ChatGPT
  • Knowledge of SAP, Webex, MS Teams, SharePoint, and Concur
  • Strategic problem‑solver who loves to think ahead and anticipate solutions to logistical issues
  • Ability to work in a fast‑moving, results‑oriented environment
  • Strong cross‑functional partnership and communication across multiple team members
  • Discretion in dealing with proprietary or confidential information
  • Helpful, can‑do attitude with a solution‑oriented approach
  • Polite and personable team player
  • Skilled at remaining calm under pressure
  • Ability and willingness to travel to company meetings, sites, etc. (~10%)
