Administrative Coordinator – U.S. Rare Disease
The Administrative Coordinator provides complex administrative and operational support to the General Manager of Ultra‑Rare Medicines within the U.S. Rare Disease Business Unit.
Responsibilities- Executive Support:
- Manage multiple calendars and email distribution lists.
- Coordinate domestic and international travel, prepare expense reports, and ensure compliance with travel policies.
- Organize end‑to‑end meeting logistics including scheduling, room reservations, catering, technology setup, agenda preparation, and action‑item tracking.
- Partner with marketing/sales planning teams on all‑staff and sales meetings to ensure smooth technical execution.
- Communication & Coordination:
- Prepare materials for internal meetings, business reviews, and team engagements.
- Proofread and format communications, presentations, and documents.
- Liaise with cross‑functional partners, executive assistants, and global teams.
- Maintain regular communication with stakeholders, manage follow‑ups, and flag action items; disseminate large communications such as organizational announcements and sales/marketing communications.
- Administration Excellence:
- Support team culture initiatives such as on‑site meetings.
- Assist marketing with vendor contracting, purchase orders, congress support, and basic MAC submissions.
- Provide support for cross‑functional initiatives and special projects.
- Continuously test and recommend new technology or productivity tools to improve operations.
Basic Qualifications:
- Associate’s degree and 2 years of administrative experience, or
- 2 years in a technical school setting with hands‑on experience, or
- High school diploma/GED and 4 years of administrative experience.
Preferred Qualifications:
- 5+ years of experience in an administrative support role.
- Strong knowledge of technology, including Outlook, Excel, PowerPoint, and AI tools such as ChatGPT.
- Knowledge of SAP, Webex, MS Teams, SharePoint, and Concur.
- Strategic problem‑solving skills and proactive anticipation of logistical solutions.
- Ability to work in a fast‑moving, results‑oriented environment.
- Strong cross‑functional partnership and communication across multiple team members.
- Discretion in handling proprietary or confidential information.
- Solution‑oriented, can‑do attitude; calm under pressure.
- Willingness to travel (~10%).
