We are seeking a highly organized and detail-oriented Project Manager / Support Staff professional to support firm-wide initiatives, project coordination, and practice operations within a growing accounting organization.
The ideal candidate thrive in a fast-paced environment, possess exceptional organizational skills, and be comfortable balancing project coordination responsibilities with administrative and operational support functions. During peak tax and audit seasons, this individual will play a critical role in helping practice leaders manage workflow, deadlines, reporting, and engagement-related activities.
Key Responsibilities Project Coordination & Management- Coordinate and support firm-wide projects, strategic initiatives, and operational improvement efforts.
- Maintain project plans, timelines, action items, and key deliverables.
- Schedule and facilitate project meetings, prepare agendas, document meeting notes, and track follow-up activities.
- Monitor project progress and proactively communicate updates to stakeholders.
- Prepare project status reports, dashboards, and executive-level updates.
- Track project milestones, risks, dependencies, and resource needs.
- Maintain project documentation and ensure consistency of project management processes.
- Support leadership in executing firm initiatives and cross‑functional projects.
- Provide direct administrative and operational support to firm leadership, partners, and department leaders.
- Assist Tax, Audit, and Advisory teams with engagement tracking, deadline monitoring, and workflow coordination.
- Support busy season planning and execution by tracking key filing, audit, and client deliverable deadlines.
- Coordinate internal meetings, scheduling, communications, and department initiatives.
- Assist with resource scheduling, utilization reporting, and workload management.
- Prepare reports, presentations, and operational summaries for leadership meetings.
- Maintain organized project files, engagement records, and supporting documentation.
- Support onboarding, training coordination, and internal process initiatives.
- Assist with special projects and administrative priorities as assigned.
- Generate recurring operational, project, and practice performance reports.
- Track utilization, realization, staffing, and workflow metrics.
- Compile and analyze data for leadership decision‑making.
- Assist in developing dashboards and reporting tools that improve visibility into project and practice performance.
- Ensure data accuracy and consistency across reports and tracking systems.
- 3+ years of experience at a public accounting, audit, tax or advisory firm in project coordination, project management support, practice administration, operations, executive support, or related roles.
- Experience with in a public accounting firm, consulting firm, advisory practice, financial services organization, or other professional services environment required.
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills.
- Advanced proficiency in Microsoft Excel, PowerPoint, Word, and reporting tools.
- Ability to work effectively with partners, managers, and cross‑functional teams.
- High attention to detail, strong follow‑through, and a customer‑service mindset.
