Education Requirements

High school diploma or GED required. Associate degree or higher in Business Administration, Finance, Accounting, or a related field preferred.

Experience Requirements

1+ years of administrative, office support, operations, or coordination experience preferred. Experience handling confidential or sensitive information in a professional environment. Experience with document management, scanning, electronic filing, and records organization. Experience preparing reports, expense documentation, reconciliations, or administrative tracking reports. Experience managing multiple priorities and meeting deadlines in a fast-paced environment. Prior experience supporting financial services, wealth management, banking, accounting, or professional services teams is preferred.

Experience with Microsoft Office Suite, including Word, Excel, and Outlook.

Physical Capabilities

Ability to sit for extended periods while working at a computer and managing administrative tasks. Ability to perform repetitive tasks, including document scanning, filing, and data entry. Ability to operate standard office equipment such as computers, scanners, printers, and related technology. Ability to review documents and information for accuracy and completeness. Ability to maintain focus and attention to detail while handling high-volume administrative work.

Ability to communicate effectively through phone, email, and virtual collaboration tools.

Job Duties

Provide administrative and operational support to multiple advisor teams in a fast-paced wealth management environment. Prepare, review, edit, and format confidential client correspondence and business documents. Manage document workflows including scanning, indexing, electronic filing, archiving, and record maintenance across multiple systems. Assist with preparation of travel expense reports, billing allocation reports, and administrative reconciliations. Process time-sensitive quarterly client tax payments while ensuring accuracy and adherence to deadlines.

Maintain organized records and ensure documentation is complete, accurate, and easily accessible. Support advisors and internal teams with administrative projects and operational tasks as assigned. Prioritize multiple requests while maintaining accuracy and attention to detail in a deadline-driven environment. Follow established procedures for handling confidential and sensitive financial information. Collaborate with team members to improve administrative processes and support operational efficiency.
