Position: Advanced Placement (AP) Testing Coordinator

Title: Advanced Placement (AP) Testing Coordinator
Classification: Stipend (Stipend may be assigned to one or more individuals)
Assignment: Throughout school year
FLSA Status: Non-Exempt
Reports To: Assistant Principal of Curriculum and Instruction or designee
Location: Deerfield High School
Pay: $10,000 per school year

Summary

The AP Testing Coordinator oversees the planning, registration, ordering, security, administration, and return of Advanced Placement (AP) exams; coordinates communication with students, families, and staff; manages testing logistics and accommodations; collects and reconciles exam fees; and ensures compliance with all College Board policies and procedures to support a secure and successful AP testing program.

Essential Functions

  • Coordinate all aspects of Advanced Placement (AP) exam administration in accordance with College Board policies and procedures.
  • Serve as the primary point of contact between the school and the College Board regarding AP testing.
  • Manage student registration, exam ordering, and testing schedules.
  • Communicate testing information, deadlines, fees, and procedures to students, families, and staff.
  • Verify student enrollment and testing eligibility and maintain accurate testing records.
  • Coordinate and implement approved testing accommodations for students with disabilities.
  • Receive, inventory, secure, and distribute AP testing materials in compliance with College Board security requirements.
  • Develop testing room assignments and schedules to support efficient exam administration.
  • Recruit, train, schedule, and supervise proctors and other testing personnel.
  • Ensure testing environments meet all College Board standards and requirements.
  • Monitor testing sessions and address testing irregularities, security concerns, and student needs.
  • Complete and submit required testing documentation, reports, and post-administration materials.
  • Maintain confidentiality of student information and security of all testing materials.
  • Collect, track, and reconcile exam fees, fee waivers, invoices, and related financial records.
  • Collaborate with administrators, counselors, teachers, and support personnel to ensure successful testing operations.
  • Respond to inquiries from students, parents, staff, and community members regarding AP testing.
  • Analyze and report testing participation data and assist with score reporting processes.
  • Maintain knowledge of current College Board policies, procedures, and updates related to AP testing.
  • Perform other duties related to assessment coordination and testing administration as assigned.

Communicates clearly both in oral and written format with all constituents of the District 113 community. Effectively present information and respond to questions from constituency groups. Apply knowledge of current research and theory in a specific field. Establish and maintain effective and collaborative working relationships with students, staff and the school community. Perform duties with awareness of all district requirements and Board of Education policies.

Mathematical

and Technical Skills

Calculate figures, estimates, proportions, percentages, and cost projections. Apply concepts of basic algebra and geometry. Strong technology skills, including standard Microsoft Office suite / Google Workspace, financial management, and data analysis.

Reasoning Ability

Define problems, collect data, establish facts, and draw valid conclusions. Interpret an extensive variety of verbal and written instructions and deal with multiple abstract and concrete variables.

Contacts Outside Your Own Department

Build positive relationships with constituents of the District 113 community that includes, teachers, school staff, administrative team, Board of Education, guardians, students, and private providers.
