Hours:

7:30 AM – 4:00 PM

We are seeking a highly motivated Accounting & Administrative Specialist to join a small office in DeForest, WI. This position plays a critical role in supporting union members, contractors, and internal operations.

This hands-on role combines accounting, administrative support, and member services in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while maintaining strong communication and adaptability.

The role offers a clear long-term growth path toward Office Manager responsibilities as part of a planned succession.

What You’ll Do
  • Manage accounts payable/receivable, bank transactions, and related activity using Quick Books
  • Assist with payroll-related processes, including tax filings and wage rate calculations based on collective bargaining agreements
  • Maintain and update member records in a union tracking system
  • Support daily communication with union members, families, and contractors via phone and email
  • Track political spending and assist with campaign finance reporting (State Ethics Commission)
  • Assist with affiliated fund contributions, scholarships, and charitable foundation payments
  • Provide general office support, including vendor coordination, filing, and administrative organization
What We’re Looking For
  • High school diploma required; additional education in accounting or business preferred
  • 3+ years of administrative, accounting, or office support experience
  • Strong Quick Books and bookkeeping experience
  • Proficiency in Microsoft Office Suite (especially Excel) and comfort learning new systems (CRM or membership databases preferred)
  • Strong written and verbal communication skills
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
  • Experience in construction, union, or labor environments strongly preferred
Work Environment
  • Onsite role (no remote work)
  • Small office team of 4 employees
  • Fast-paced, collaborative environment
  • Standard hours: 7:30 AM – 4:00 PM, Monday–Friday
Compensation & Benefits

Starting salary for this role is $65,000+, depending on experience.
