The purpose of the Office Administrator is to ensure the smooth, consistent, and efficient operation of the office environment, providing critical support to both internal teams and external clients. This role serves as a central point of contact, fostering positive communication, proactively resolving issues, and maintaining a high standard of professionalism and organization. By effectively managing administrative tasks and contributing to a collaborative workspace, the Office Administrator directly supports the productivity and positive image of Annex Wealth Management.
Annex Wealth Management is a privately held, full‑service advisory and wealth‑management firm acting as a fiduciary for individuals, families, and businesses. The team approach ensures that clients interact with a group of experienced professionals who hold key credentials in investment, tax, insurance, estate planning, and more.
What You’ll Do- Respectful Communication:
Actively listen to client requests, use professional language, respond promptly and courteously, maintain confidentiality, and communicate project updates effectively. - Problem Solving and Initiative:
Identify, analyze, and resolve problems efficiently; consider different solutions and implement the best course; handle scheduling conflicts or escalated clients and collaborate to overcome project challenges. - Work Ethic:
Demonstrate professionalism, diligence, reliability, punctuality, and organization; take responsibility for work quality, maintain a professional appearance, and meet deadlines consistently. - Willingness to cover at our Headquarters as needed.
- Proven Experience:
1+ years of office administration or coordinator experience. - Education:
Associate or bachelor’s degree. - Industry Exposure:
Experience working in a fast‑paced, team environment. - Communication
Skills:
Strong verbal and written communication for interacting with colleagues, clients, and vendors. - Organizational
Skills:
Ability to manage files, schedules, and tasks efficiently. - Time Management:
Prioritize tasks and manage time effectively to meet deadlines. - Technical Proficiency:
Familiarity with office software such as Microsoft Office Suite and email systems. - Problem‑Solving
Skills:
Ability to address and resolve office‑environment issues collaboratively with team members. - Attention to Detail:
Ensure accuracy in data entry, scheduling, and document management. - Multitasking:
Handle multiple tasks simultaneously without compromising quality. - Adaptability:
Be flexible and able to adjust to changing office dynamics and priorities. - Teamwork:
