The work you will do:
Administrative Assistant II - District Five This position provides administrative and operational support to the District Director of Transportation Development and the Executive Suite at both district and statewide levels. Helps plan and coordinate projects, manage personnel processes (such as hiring and evaluations), and maintain documentation and tracking systems. Supports Directors by organizing schedules, calendars, and organizational charts, while assisting with special projects for a large team.
Also handles office administration tasks like recordkeeping, purchasing, meeting coordination, and policy guidance, ensuring compliance with procedures.

Annual salary range: $51,711.12 - $66,920.28
Your specific responsibilities:
Provides support to the Directors and/or other professionals as required or requested. Manages the overall administrative functions of the Office. Stays up to date with the latest changes in rules, procedures, and processes related to:
Human Resources, Purchasing, Travel, etc. Performs assignments/reports involving independent planning of administrative objectives and priorities for the Directors. Specific responsibilities include the analysis of new and/or revised departmental procedures, providing recommendations, implementation of procedures and advising the Directors of changes to administrative responsibilities. Maintains calendar and e-mail, retrieves and responds on a daily basis and manages responses to those which need quick turnaround for the Directors.
Maintains confidentiality on all issues. Ability to make recommendations to resolve issues. Coordinates public inquiry requests using the Enterprise Correspondence Tracking System, JustFOIA (Freedom of Information Act). Analyzes responses, provides input, and makes recommendations, referring any unusual requests to the Directors. Receives, reviews, assigns and tracks all incoming correspondence. Processes and prepares correspondence and requests for staff and management. Proofreads reports and correspondence for staff.
Manages and maintains file system, correspondence, meeting minutes, personnel actions, and other related documents. Determines priorities and independently follows up to ensure responses are timely and complete. Performs and maintains budgetary and salary rate management activities including analysis, planning and coordination of fiscal responsibilities for the Directors. Develops and updates a spreadsheet of current rate balances, projected utilization for each office and the division as a whole.
Processes personnel actions including, but not limited to, hiring packages and performance evaluations. Tracks Directors position vacancies and initiates proactive measures to ensure positions are filled within established timelines. Reviews District Five proposed hiring packages for completeness and documents recruitment issues. Possesses a P-Card and is authorized to make purchases for the Divisions and processes invoices. Utilizes My Florida Market Place MFMP to make necessary purchases.
