The Assistant Director of Development, Database Manager is a key member of the Development Operations team, responsible for the integrity, accuracy, and strategic use of the university’s constituent and alumni database. This position serves as the primary steward of the Raiser’s Edge database and related systems, ensuring that all donor, alumni, and constituent records are current, accurate, and actionable in support of the university’s fundraising and engagement goals.
This role assumes full ownership of all alumni record updates, a responsibility previously shared with the Alumni Administrator, and partners closely with the Director of Development Operations for guidance, quality oversight, and strategic direction. The Assistant Director brings strong data quality discipline, a proactive approach to process improvement, and a collaborative spirit that supports the broader development team.

Employment duties include, but are not limited to:
- Oversee the full constituent record lifecycle, from creation through updates and archival, maintaining accuracy at every stage.
- Update constituent records and identify, research, and correct discrepancies using internal and external sources (e.g., Banner, news stories, Lexis Nexis).
- Conduct regular data audits, de-duplication reviews, and quality control processes to ensure clean, reliable records.
- Adjust records based on constituent contact preferences and opt-out requests.
- Monitor and respond to alerts in data maintenance dashboards.
- Support system integrations and data imports, maintaining clean and structured data flow between platforms.
- Assume full responsibility for all alumni updates in the database, including address changes, employment updates, degree information, and life event milestones.
- Process returned mail, electronic address updates (NCOA), and alumni self-reported changes in a timely and accurate manner.
- Coordinate with the Alumni Relations and Registrar’s offices to ensure new graduate records are imported and properly attributed in a timely manner.
- Research and verify alumni contact information using internal and external sources to maintain the highest possible deliverability and reach.
- Track and document alumni data sources to support audit readiness and data governance compliance.
- Assist the Director of Development Operations in ensuring quality and accuracy of mailing and email lists prior to deployment.
- Work alongside and under the guidance of the Director of Development Operations on all major data initiatives, system improvements, and division-wide projects.
- Seek workflow efficiencies, automation opportunities, and enhanced data security practices in close coordination with the Director.
- Reengineer business processes using technology to improve divisional operations, with the Director's approval and oversight.
The knowledge, skills, and abilities for this role include:
- Proficiency with Microsoft Office Suite, especially Excel and Word; familiarity with Access.
- Experience with Raiser’s Edge or a comparable CRM;
Banner experience is a plus. - Demonstrated ability to maintain standardized data formatting with strong attention to detail.
- Strong organizational, analytical, interpersonal, and problem-solving skills.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines independently.
- Capability to follow complex policies and handle highly confidential information with discretion.
- Team-oriented with flexibility for occasional after-hours events or deadlines.
- Strong written and verbal communication skills; ability to work collaboratively across departments.

- Bachelor’s degree or equivalent combination of education and experience.
- At least three (3) to five (5) years of office experience working with databases in a development, advancement services, or related setting.
- Demonstrated experience with alumni or constituent record management.
