SUMMARY OF
JOB DUTIES:
This position requires a polished and professional individual with excellent communication skills. The Referral Coordinator with Imaging Skills is responsible for coordinating and processing all patient referrals and imaging orders efficiently and accurately. This includes scheduling and notifying patients of appointments, providing instructions, entering orders into the EMR system, tracking reports, and collaborating closely with providers and staff to ensure timely, high-quality patient care.
ESSENTIAL JOB FUNCTIONS:
- Efficiently coordinate and follow up on referrals for specialties or diagnostics.
- Enter, verify, and manage imaging orders in accordance with provider instructions and department protocols.
- Communicate effectively with patients, providers, and internal teams, providing all necessary information.
- Maintain appropriate logs of all referrals and imaging orders; track and record reports into the EMR system as received.
- Work in cooperation with outside agencies to help patients access alternate resources when appropriate.
- Attend meetings with physicians and staff as necessary; assist in educating clinic staff regarding referral and imaging processes.
- File, copy, and fax referral and imaging authorizations as required.
- Demonstrate the ability to manage time effectively and work under stressful conditions with an even temperament.
- Establish and maintain harmonious working relationships with employees, patients, and the public.
- Clock in and out daily, including lunch breaks, as appropriate.
- Complete all other duties and responsibilities as assigned by management.
- Demonstrate flexibility to handle both referral and imaging orders, ensuring coverage during high-volume periods or staff absences.
- Adhere to departmental and market-wide policies, ensuring alignment with workflows in other markets.
MINIMUM REQUIREMENTS
- Must have a High School Diploma or equivalent.
- Minimum of two years of related clinical experience along with experience and knowledge in referral processes and procedures, referral coordination, imaging order processing, protocols, patients services, and medical office workflow.
- Must have the ability to address sensitive issues in a confidential manner and adhere to the confidentiality policy.
- Ability to follow detailed written and verbal instructions.
- Excellent organizational, communication, and multitasking skills.
- Ability to prioritize tasks, work independently, and support a team-oriented environment.
- Computer proficiency in electronic health record systems and ADP (or similar systems).
- Commitment to patient-centered care and departmental efficiency.
- Ability to perform tasks with precision and thoroughness, ensuring high-quality and error-free output.
- Capable of effectively organizing tasks, meeting deadlines, and managing competing priorities in a fast-paced environment.
- Strong interpersonal skills with the ability to work cooperatively within a team and across departments to achieve shared goals.
- Open to feedback and committed to continuously improving processes and skills; comfortable adapting to new tools, systems, and workflows.
- Proactive in identifying issues and implementing practical, data-informed solutions with sound judgment and analytical thinking.
WORKING ENVIRONMENT
The position requires climbing, stooping, kneeling, crouching, reaching, standing, lifting, grasping, feeling, talking, hearing, repetitive motions, and finger use. Pushing and pulling are occasionally required. Use of a computer, keyboard, and telephone along with various office machines is an essential part of the job.
