The Administrative Specialist is responsible for camp-related customer service and administrative needs in the camp office and throughout the camp.

Responsibilities
  • Serve as a point person for ESF families; respond to inquiries in person as well as over the phone.
  • Greet campers and their guardians in the camp office; collect lunches and transition campers.
  • Answer telephones and transfer calls to appropriate team members.
  • Call camp families to confirm enrollment or discuss camper needs.
  • Support summer sales initiatives; inform new and existing families of enrollment opportunities.
  • Perform general clerical duties such as copying, mailing, and filing.
  • Ensure that the camp office is clean, organized, and well-maintained.
  • Open, sort, and distribute or respond to incoming correspondence including mail and email.
  • Maintain inventory and complete assigned paperwork.
  • Assist families in enrolling their campers using the CRM database.
  • Update camper records and input pertinent information into the database.
  • Work effectively and collaborate with co-workers including other on-site Administrative Specialists, Nurses, Admissions and Customer Engagement Coordinators, Site Director, and leadership team.
  • Ensure the safety and well-being of campers with emphasis on positive behavior and effective group management; promptly report concerns to the Site Director.
  • Supervise campers, foster a positive and safe environment; model ESF Core Values & Code daily and adhere to all company policies.
  • Maintain clear, concise, and engaging communication with campers, families, peers, and leadership.
  • Report to the Camp Director with accountability to the Site Director.
  • Open to being flexible with schedule and on-site requirements as needed by location.
Qualifications
  • Experience
    : 1-2 years in administrative and/or customer service roles. Previous experience in a camp or school setting is preferred. Experience teaching and working with children is a plus.
  • Technology Skills
    :
    Proficient in Microsoft Office (especially Excel) and able to use a CRM database.
  • Hours
    :
    Typically 7:30am–4:30pm or 8:00am–4:00pm, Monday–Friday. Start and end times may vary by location, with later times possible.
  • Schedule Commitment
    :
    Any schedule changes must be pre-approved by the site director.
  • Required Training
    :
    Complete all required ESF and state-mandated training and onboarding.
  • Dress Code
    :
    Maintain the "ESF Look" (camp uniform) and embody the camp spirit.
  • Customer Service
    :
    Serve as a point of contact for ESF families; respond to inquiries; greet families; answer phones; discuss enrollment needs; participate in enrollment outreach.
Physical Requirements
  • Push/pull, lift, and carry a minimum of 35 pounds; stand, walk, and be mobile for six to eight hours per day.
  • Respond to emergencies, which may include running up to 1 mile and ascending stairs without undue exertion.
