Career and Technical Education (CTE) Financial Secretary Position Summary

The Financial Secretary provides comprehensive administrative, financial, and operational support to the Teaching & Learning Department, Career & College Readiness Department and Communications Department. This position manages departmental finances, grant-related processes, event coordination, travel logistics, scheduling, and daily office operations while serving as a liaison among district staff, schools, students, families, business and community partners, and external organizations. The CTE Secretary exercises sound judgment, maintains confidentiality, and supports the efficient operation of department programs and initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following information is intended to describe the overall nature and scope of the work being performed in relation to the position. This is not a comprehensive listing of all of the responsibilities or tasks; other work may be assigned as deemed appropriate:

  • Manage financial records and budgets for the CTE Department.
  • Oversee financial processes for 509 funds, Perkins and grants, and Communications Department budgets.
  • Process purchase orders, invoices, reimbursements, and budget transactions.
  • Ensure compliance with district, state, federal, and grant requirements.
Department Operations
  • Coordinate department calendars, meetings, and schedules.
  • Provide administrative support to department leadership and staff.
  • Prepare correspondence, reports, meeting materials, and departmental documents.
  • Coordinate purchasing and ordering of supplies and materials.
Event Coordination
  • Plan and coordinate department events, meetings, advisory boards, and community engagement activities.
  • Manage event logistics, facility arrangements, materials, vendor coordination, and event preparation.
Communication & Customer Service
  • Serve as a primary point of contact for schools, staff, business partners, community organizations, and external agencies.
  • Coordinate department communications and provide exceptional customer service to internal and external stakeholders.
Travel Coordination
  • Coordinate in-state and out-of-state travel for Career & Technical Student Organizations (CTSOs), including transportation, lodging, registrations, and travel documentation.
District Office Front Desk Support
  • Provide coverage and support for the District Office front desk as needed.
  • Answer and direct incoming calls, greet visitors, and provide general information and assistance.
  • Direct questions and requests to the appropriate department or staff member.
  • Provide professional, welcoming customer service to staff, families, community members, and visitors.
  • Assist with maintaining an organized and efficient front office environment.
Other Duties
  • Support department initiatives, special projects, and daily office operations.
  • Perform other duties as assigned to support the mission and goals of the Office of Workforce Development within the Teaching and Learning Department.
MINIMUM QUALIFICATIONS:
  • High School Diploma or GED Certificate (two years of applicable college or business school is preferred).
  • Thorough knowledge of secretarial techniques and office procedures.
  • Excellent interpersonal skills and ability to work with others.
  • Typing skills with accuracy.
  • Proficiency in both written and oral English usage and proofreading.
  • Ability to coordinate workload to meet established schedules/deadlines.
  • Demonstrates ability to make decisions, to work under pressure and to exercise good judgment, discretion, and confidentiality in performance of duties.
