Responsible for processing customer orders and responding to customer’s inquiries and questions regarding the Parts Department services and seeks remedies to ensure customer satisfaction and retention. This position is also responsible for vendor sales, inventory, purchasing, pricing and warranty administration.
Salary range $18 to $22 per hour depending on experience.
Flexible weekday schedule between 20 and 30 hours per week with the potential to become full time.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Customer Service:
- Responds to literature requests from customer.
- Possesses knowledge of the Trane and outside vendor product lines to be able to demonstrate and discuss with customers.
- Provides technical support to customers.
- Responds to customer’s inquiries, questions or complaints regarding products and services.
- Informs customers of standard procedures or resolution of problem.
- Determines best method to resolve problems to ensure customer satisfaction and company adherence to policies.
- Conducts sales of HVAC parts, equipment and supplies over the phone, over the counter and internally.
- Prepare written documentation to customer for part identification, availability and pricing.
- Prepare returned material and process documentation for credit to customer.
- Prepare invoices on a daily basis for designated departments and outside customers.
- Process credit card, cash and check payments.
- Follow-up on billings without proper information to invoice.
- Review status of returned items, warranty items, open orders weekly.
Deliveries:
- Delivery of parts and/or rental units to customer sites.
Inventory Control:
- Evaluates stock and selects items for weekly orders.
- Evaluates and orders new product lines.
- Sets stock levels for all locations.
- Responsible for assisting all aspects of inventory control including replenishment, stocking, cycle counting and physical inventory.
- Responsible for returned inventory orders.
Marketing:
- Create displays for demonstrations and new products in Showroom.
- Assists in developing and implementing marketing plan to increase parts sales.
Office Duties:
- Filing
Orders:
- Pull parts for Inside Counter Sales for outside and internal customers.
- Arrange shipping documents for packages for all departments.
Receiving:
- Materials to be received into Seiberlich Trane HVAC Parts & Supplies system immediately upon arrival.
- Receive parts, supplies and equipment from freight carriers by accepting shipments (loading and unloading) and moving to proper storage location.
- Complete receiving paperwork and forward to proper filing location.
Safety:
- Warehouse must be kept clean and up to Safety standards.
- Use and promote safe practices in the warehouse, store, office and when in the field.
- Notify Team Leader or Safety Director of any unsafe conditions
Shipping:
- Pull, pack and arrange transportation of packages, either Motor Freight, UPS, etc. and document with appropriate paperwork.
Warehouse:
- Shelves are to be kept organized and in alphabetical arrangement at all times.
- Warehouse and showroom are to be kept organized, neat and clean.
- Maintain equipment (Forklift, hydraulic lifts, etc.).
- Operate a hand-truck and practice safe material handling techniques.
- Maintain warehouse facilities by inspecting for security, signs of wear, scheduling and completing preventative maintenance work.
- Warranty
- Responsible for warranty administration on all parts.

EDUCATION and/or
EXPERIENCE:
High school diploma or general education degree (GED); and three to five years related experience and/or training.
COMPUTER
SKILLS:
MS Office and the ability to understand inventory and accounting programs. Keyboard skills to allow for efficient data entry and electronic communications.
