Job Description Summary

Directs, coordinates, and manages all practice functions. Responsible for practice operations, financial accounting activities, operating and capital budgets, and implementing and supporting MSF policies and procedures. Works effectively with physicians and other care providers to assure timely and thorough communication and practice efficiencies. Provides education and coaching support to staff and acts as a role model in support of the Ohio Health Mission Statement.

And Duties

60% Daily Operational Management. Human Resource responsibilities include hiring, evaluating and providing annual performance evaluations to staff, promotion, dismissal, coaching, counseling, conflict resolution, and growth and development. Determines appropriate staffing levels and maintains employee schedules to assure coverage while maintaining fiscal responsibility with overtime. Manages staff payroll and individual staff HR records. Creates, oversees, trains, and implements patient services policies and procedures.

Resolves and manages patient complaints and requests for service immediately and courteously. Engages staff in adjusting clinical workflows to ensure highly efficient patient care. Manages monthly financials including accounts payable and accounts receivable. Manages inventory and purchasing in accordance to budget. Prepares preliminary capital and human resources budgets for review and approval. Assures timely capture and input of all billing information.

Manages practice equipment maintenance needs. Oversees and approves maintenance agreements and service contracts in conjunction with the director. Assists the director in managing contractual agreements. Provides on-site IT support and/or orders and oversees IT work required of outside vendors; applies and implements upgrades. Coordinates safety, security, customer service, HIPAA, risk management, compliance and code training; assures understanding and enforces regulations.

Oversees building repairs and practice construction projects. Reviews and enforces regulatory compliance, building safety and code regulations. In coordination with the practice providers, assesses the need for physician services at practice locations; manages physician schedules of professional and ancillary services accordingly. Serves as a point of contact for physician paperwork, meeting requests, billing reconciliation. Acts as a liaison between physicians, associates and organizational leaders.

30% Performance Management. Monitors patient satisfaction data and makes appropriate improvements to increase ratings. Investigates financial variances to budget and makes recommendations on improving monthly variances. Assists Director with practice specific long range financial and business planning, capital and operating budgets. Meets annual goal deployment metrics as assigned. Develops and executes plans to improve outcomes. Provides and reviews monthly physician and practice performance data with all providers.

Works with director, marketing and business development to market and grow practice.

10% Organizational Transformation. Translates and educates staff on organizational strategy and vision. Communicates and executes organizational change initiatives within the practice. Serves on committees to optimize performance. Pilots, implements and champions new programs, services and processes. Enhances operational effectiveness and cost containment through continued innovation without compromising quality of care.
