Position: Office Manager (24 - 28 hours per week)

Role: Office Manager / Assistant / Secretary

Location: Delft

Contract: 6 months (extension possible)

Hours: 24 / 28 hours per week

Industry: Biotechnology

Position:

This role manages the daily operations of the Delft office while providing administrative and secretarial support to management. The Office Manager ensures smooth facility processes, coordinates onboarding, travel, meetings, and acts as a central point of contact for internal and external stakeholders. Strong organisational skills, professionalism, and the ability to operate in an international environment are essential for success in this position.

Responsibilities

Office Management

  • Ensure all necessary equipment is present and functioning
  • Onboard new colleagues
  • Represent the company in SHE matters
  • Act as first point of contact towards the landlord
  • Support well-being of coworkers in the Delft office (office decoration and events)
  • Act as process owner for invoicing, POs, archiving
  • Archive contracts, agreements, board resolutions, etc.

Secretarial Duties

  • Compose correspondence/reports for own or manager's signature
  • Update and chase delegated tasks to ensure progress to deadlines
  • Welcome visitors and arrange complex meetings
  • Maintain office systems for efficient paper/digital flow
  • Arrange travel and accommodation for complex itineraries
  • Organise events
  • Take initiative in manager's absence
  • Act as SharePoint and Teams administrator
  • Assist Quality Management with SOPs, records, manuals, etc.

You have/are

  • Minimum 5 years of experience in management assistance and/or facility management
  • Fluent in English and Dutch
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint, MS Teams, SharePoint)
  • Preferably basic skills in SAP (POs and invoicing)
  • Strong organisational and communication skills
  • Ability to work in an international and multicultural environment
