We are seeking a highly experienced Executive Assistant to support US-based executives and client leadership teams in a fast-paced, client-facing environment. This role requires exceptional communication skills, strong executive presence, and the ability to manage complex coordination across time zones while working closely with offshore and onshore stakeholders.
The ideal candidate has extensive experience supporting senior leaders, driving follow-ups, preparing executive-level materials, and serving as a trusted liaison between US clients and internal delivery teams.
Key Responsibilities
Executive & Client Support
Provide dedicated administrative and operational support to US-based executives and senior client stakeholders
Act as a trusted point of contact between US clients and internal offshore teams
Manage professional communication on behalf of executives, including drafting, reviewing, and responding to emails
Coordination & Execution
Track action items, deliverables, and deadlines from executive and client meetings
Drive follow-ups and execution of action items at the direction of the executive
Support client onboarding, recurring reporting cadence, and operational/business reviews
Reporting & Documentation
Develop and prepare executive-level reports using data gathered from multiple systems and teams
Create and maintain high-quality presentations, dashboards, and client-facing documentation
Ensure accuracy, consistency, and clarity in all executive and client materials
Calendar, Travel & Logistics
Manage complex executive calendars across multiple global time zones
Coordinate domestic and international travel, including itineraries, visas, and expense reporting
Schedule and organize meetings, leadership reviews, and client engagements
Confidentiality & Special Projects
Handle sensitive and confidential information with the highest level of discretion
Support special projects, ad-hoc requests, and time-sensitive initiatives as required
Required Qualifications
Bachelor's degree in Business Administration or a related field (Master's degree preferred)
5–10+ years of experience supporting senior executives or US-based clients
Proven experience working US shifts and coordinating with US stakeholders
Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint)
Advanced Excel skills, including pivot tables, VLOOKUP/XLOOKUP, and optional Power Query
Excellent written and spoken English communication skills
Exceptional organizational skills with the ability to manage multiple priorities effectively
Preferred Skills & Experience
Experience supporting US clients in consulting, RPO, staffing, accounting, pharma, or IT services
Familiarity with Office 365, SharePoint, CRM tools such as Salesforce, Zoho, or similar platforms
Experience working in offshore delivery, shared services, or global support models
Strong attention to detail with a proactive, client-first mindset
