Job Description

The High School Administrative Assistant serves as the primary administrative support professional for the High School Principal and is the primary customer service representative for the high school office. The position manages student information systems, student records, office operations, communication, and administrative support while providing exceptional service to students, families, staff, and community members.

Qualifications Required
  • High school diploma or equivalent.
  • Three years of administrative or secretarial experience (school experience preferred).
  • Proficiency with Microsoft Office and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and problem‑solving skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to manage multiple priorities independently.
Preferred
  • Previous K-12 school experience.
  • Experience with Infinite Campus.
  • Knowledge of FERPA and South Dakota school reporting requirements.
Essential Duties and Responsibilities Administrative Support
  • Serve as administrative assistant to the High School Principal.
  • Manage daily office operations and maintain confidential records.
  • Greet visitors, answer phones, prepare correspondence, reports, forms, and calendars.
  • Provide exceptional customer service.
Attendance and Student Records
  • Maintain daily attendance, arrivals, departures, and parent notifications.
  • Process enrollments, withdrawals, transfers, cumulative files, transcripts, and graduation verification.
  • Maintain student eligibility and sign‑in/sign‑out records.
Student Information Systems
  • Serve as the primary Infinite Campus contact.
  • Maintain student demographic information, schedules, online registration, parent portal support, and required state reports.
Communication
  • Prepare daily announcements.
  • Communicate effectively with students, parents, staff, and community members.
  • Serve as a liaison between the High School Principal, students, parents, staff, and community members by providing accurate information and directing inquiries to the appropriate personnel.
Graduation and Student Activities
  • Assist with graduation preparation, including senior records, graduation verification, diplomas, commencement documentation, and coordination with staff responsible for cap and gown orders.
  • Coordinate class ring orders, prom documentation, awards, school picture days, and other student recognition activities.
  • Assist with proofreading and preparing materials for school events, ceremonies, and student recognition activities as assigned.
  • Provide administrative support for yearbook and graduation activities as assigned.
Office Operations
  • Coordinate substitute requests, office supplies, copier maintenance, lunch account payments, student fees, mail distribution, and office forms.
Safety and Security
  • Assist with visitor management, building security procedures, district safety systems, emergency preparedness documentation, and required safety drills.
Technology
  • Utilize district software systems, maintain electronic records, and support staff and families with technology questions.

Physical Requirements
  • Ability to sit, stand, walk, and lift up to 25 pounds.

  • Ability to communicate effectively in person, electronically, and by telephone.
Terms of Employment
  • Full-time, benefits‑eligible position.
  • Summer work schedule established annually by the district (currently averaging approximately 18 hours per week during summer months).
  • Evaluated annually by the High School Principal.
