This role requires strong organizational skills, professional communication, and the ability to manage multiple priorities while maintaining attention to detail.
Key Responsibilities Vendor & Office Operations Support
• Serve as the primary point of contact for company office vendors (e.g., IT, cleaning services, equipment providers, inspectors, and other operational partners)
• Coordinate vendor inspections, site visits, and service schedules
• Set and communicate expectations with vendors regarding timelines, access, and scope of work
• Track vendor performance and follow up on outstanding items or issues
• Maintain vendor contact lists, agreements, and related documentation
Day-to-Day Office Coordination
• Manage office scheduling related to inspections, vendor visits, and operational needs
• Coordinate access, logistics, and communication for on-site and office-based activities
• Assist with maintaining an organized, efficient office environment
• Support internal teams by coordinating schedules and ensuring operational readiness
Executive Assistant Support (Director of Operations)
• Manage the Director of Operations’ calendar, including scheduling meetings, inspections, and travel as needed
• Coordinate internal and external meetings, including agendas, materials, and follow-ups
• Act as a gatekeeper and point of coordination for communications directed to the Director of Operations
• Assist with preparation of reports, presentations, and operational documents
• Support special projects and initiatives as assigned
Special Projects & Administrative Support
• Assist with process improvements, documentation, and operational initiatives
• Perform general administrative duties as needed to support operations and leadership
• Maintain confidentiality when handling sensitive company information
• Adapt to changing priorities in a fast-paced environment
Qualifications
• Previous experience in an administrative, operations, or executive assistant role
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Professional demeanor with vendors, leadership, and internal teams
• Ability to manage multiple tasks and shifting priorities
• Proficiency with office productivity tools (email, calendars, spreadsheets, documents)
Preferred Qualifications
• Experience supporting senior leadership or executives
• Experience coordinating vendors or service providers
• Familiarity with operations, facilities, or service-based industries
• Experience handling special projects or process documentation### Pay & Benefits Salary: $55,000-$65,000/yr### Schedule & Location onsite
• Delray Beach, FL
