This position provides clerical support to the Juvenile Probation Officer Supervisor, performing routine administrative tasks using various computer systems. Responsibilities include drafting correspondence, preparing reports, handling information requests, scheduling appointments, maintaining records, greeting visitors, and performing other general office duties as needed.
Flexibility with the work schedule may be required.
Duties and Responsibilities- Schedule appointments and make all travel arrangements for the Juvenile Probation Officer Supervisor and staff.
- Answer calls, take messages, and assist staff, clients, and visitors.
- Greet guests courteously and direct them to appropriate services.
- Maintain accurate inventory of supplies and arrange service calls.
- Track and replenish postage meter.
- Receive, review, and forward incoming mail and correspondence.
- Draft, proofread, and submit correspondence and documents.
- Attend staff training and meetings; complete at least 24 hours of training annually.
- Operate general office equipment (copy machine, typewriter, PC, fax).
- Provide excellent customer service to internal and external customers.
- Use Microsoft programs for routine clerical duties.
- Comply with Section 215.422 Florida Statutes and Prompt Payment Compliance Law.
- Knowledge of department policies, probation statutory requirements, and basic computer skills.
- Knowledge of standard business letter formats, filing practices, and telephone handling techniques.
- Professional writing, time management, and prioritization; basic computer and software proficiency.
- Effective verbal and written communication with staff, youths, and parents; use JJIS and basic office software.
- Maintain an orderly office and provide excellent customer service as a team player.
- Organize files, coordinate assignments, and manage workload within deadlines.
- High school diploma or equivalent.
- Two years of secretarial or clerical experience.
- College education: 30 semester or 45 quarter hours substitute per year of required experience.
- Experience with Microsoft programs for clerical duties.
- Experience in fiscal, personnel, purchasing, reporting, or major office functions.
- Experience supporting a work unit or group.
- Valid driver’s license.

A valid driver’s license is required; out‑of‑state license holders must obtain a Florida license within 30 days of hire.
