Job SummaryThe Medical Office Coordinator greets patients, answers phones, schedules appointments, collects accurate patient demographics, verifies insurance, processes referrals, and enters charge data. They coordinate daily operations of the physician office, manage medical records, oversee the front desk, confirm appointments, order supplies, and reconcile patient balances.
Responsibilities- Greeting patients, answering phones, and scheduling appointments
- Collecting accurate patient demographics
- Answering telephones promptly and courteously
- Insurance verification
- Referral processing
- Charge entry, patient balance processing, and daily reconciliation of charges and payments
- Providing assistance and explaining procedures to callers or face‑to‑face
- Ensuring all interactions with patients, the public, physicians, and staff are friendly, courteous, and considerate
- Managing, copying, and reviewing medical records for accuracy
- Coordinating daily operations of the physician office, including medical records, scheduling, front desk oversight, appointment confirmation, and supply ordering
- High School Diploma or GED
- 5 years of experience in a physician practice (preferred)
- Completion of a Medical Office Assistant program (preferred)
- Healthcare management/administration certification (preferred)
- EMR/EHR experience, especially Next Gen or Athena (preferred)
- Proficiency in a Windows environment with working knowledge of Word, Outlook, and the Internet (required)
- Willingness to be flexible and adaptable in a complex, matrix environment
