Position Summary

We have an exciting opportunity to join our team as a Faculty Group Practice Medical Secretary.

The Medical Secretary performs administrative and clerical tasks to support daily practice operations, scheduling patient visits and procedures, handling phone calls, and maintaining efficient provider schedules.

Job Responsibilities
  • Schedules appointments for visits, treatments, and procedures.
  • Reviews appointment confirmation responses and manages waitlists.
  • Communicates with patients about upcoming visits, including instructions and forms.
  • Obtains authorizations for services as needed.
  • Answers calls and takes messages, addressing questions or routing messages to the appropriate contact.
  • Handles faxes and mail.
  • Prepares standard letters and forms as required.
  • Performs other duties as needed.
Administrative Physician and Practice Support
  • Demonstrates knowledge of the organization’s patient experience expectations and Service Standards and incorporates them into duties.
  • Supports patient access activities: greets patients, collects information, answers questions, directs assistance, and answers phones.
  • Maintains professional relationships with physicians, nurses, and office staff.
  • Prioritizes assignments to complete work in a timely manner when workload changes.
  • Communicates using appropriate vocabulary and grammar with patients, physicians, nurses, and staff in person, over the phone, in writing, and electronically.
  • Assists in training staff on registration and office policies and responsibilities.
  • Reviews in‑basket messages and patient emails before routing to the appropriate provider.
  • Provides patients with non‑clinical instructions for upcoming appointments or procedures.
  • Promotes the use of MyChart.
  • Follows scanning guidelines and best practices for importing outside documents.
  • Reviews the waitlist periodically to ensure patients are called and offered appointments.
  • Reschedules patients when physicians are out or blocks schedules.
  • Organizes and distributes mail and faxes.
  • Has general knowledge of the practice/physician specialty, including conditions, treatments, and scheduling scripts.
  • Manages physicians’ calendars, creates and sends calendar invites.
  • Releases medical records in accordance with HIPAA and applicable procedures, documenting disclosures in Epic and fulfilling requests within a 10‑day timeframe.
  • Processes incoming and outgoing documents via paper and electronic records, scanning, uploading, and forwarding appropriate information within EPIC.
  • Completes forms legibly and accurately, securing signatures and forwarding to the correct destination.
  • Follows up with physicians on any outstanding patient‑care messages.
  • Answers patient questions to ensure understanding and satisfaction, referring them to more senior staff when necessary.
  • Coordinates surgical and infusion scheduling with the Senior Medical Secretary.
  • Prepares routine memoranda, letters, labels, manuscripts, correspondence, and other documents, reviewing them for accuracy and completeness.
  • Receives prescription refill requests, locates the prescription in the EMR, and tasks RN, LPN, or provider to evaluate and process renewal.
  • Communicates with pharmacies and patients to clarify prescription questions or concerns.
  • Initiates and follows up on pre‑authorizations and appeals, arranging peer‑to‑peer communication when required.
  • Manages patient, referral, and authorization work queues.
  • Obtains and documents referrals received in EPIC.
  • Collaborates with other NYU Langone sites to ensure seamless continuation of care.
  • Remains current on best practices, policies, protocols, workflow updates, FOCUS trainings, and job‑related tasks.
  • Maintains cleanliness of personal and patient spaces, including waiting areas and supplies.
  • Communicates with patients regarding scheduling instructions, clarifications, updates, and status changes for appointments or procedures.
  • Assists with the completion of special projects, reports, and activities, ensuring requested information is accurate and complete, and raises issues to the supervisor.
  • Performs other related duties as directed by providers and supervisor.
