About the Role
The Executive Assistant will act as a strategic partner to the President, providing high‑level administrative support, coordinating priorities, and ensuring that projects and communications move forward efficiently. This role blends executive support, operations coordination, and cross‑departmental communication.
Key Responsibilities- Executive & Strategic Support
- Anticipate needs and prepare briefing materials, summaries, and follow‑ups for the President.
- Support planning and execution of key initiatives, including product launches, operational improvements, and hospitality programs.
- Track action items from leadership and board meetings, ensuring follow‑through across departments.
- Manage calendars, scheduling, travel arrangements, and meeting coordination.
- Prepare correspondence, reports, presentations, and internal communications.
- Maintain organized digital and physical filing systems.
- Assist with HR onboarding tasks and internal process documentation.
- Serve as a central communication hub between production, customer service, sales, and leadership.
- Coordinate timelines and deliverables to keep projects on track.
- Identify bottlenecks and escalate issues proactively.
- Support high‑value hospitality clients with timely communication and follow‑ups.
- Assist in preparing proposals, presentations, and client‑facing documents.
- Represent the President professionally in communications with partners, suppliers, and stakeholders.
- Handle sensitive information with discretion, including HR matters, contracts, and financial documents.
- Prepare materials for board meetings, leadership updates, and strategic planning sessions.
- Maintain organized records for compliance and governance.
- Experience in an administrative or executive support role
- Exceptional written and verbal communication skills
- Strong organizational skills with the ability to prioritize and multitask
- High attention to detail and accuracy
- Proficiency with Microsoft Office (Outlook, Word, Excel)
- Ability to work independently, anticipate needs, and solve problems
- Comfortable in a small‑team environment where responsibilities are varied and evolving
