Job Title
Office Assistant – International Programs (Continuing)
SummaryReporting to the Director of International Student Programs, the Office Assistant provides a wide range of clerical and administrative services to support the efficient operation of the department.
Salary: $29.60 per hour.
Duties- Perform administrative and secretarial duties with minimal direction, including typing, proofreading, duplicating, photocopying, collating, and filing documents.
- Compose and prepare routine correspondence and keep the office area tidy and presentable.
- Process agent applications, collect business licenses, and send agent agreements, brochures, and certificates; maintain agent information in the database.
- Collect and prepare legal documents for student study permit renewals and visiting parent visa renewals.
- Process travel, invitation, and attendance letters, certificates, and other documentation; forward student medical information to schools.
- Maintain student records, enter data into the ISP student record system and MyEd BC, forward requests to the director and schools, and liaise between agents, schools, parents, and homestay parents.
- Generate student lists and assist in developing new forms and processes.
- Perform reception duties and respond to inquiries by telephone, e-mail, and in person.
- Assist with registration of new students.
- Monitor and prepare monthly payments of homestay fees from host families.
- Organize couriers and track shipping of brochures and other materials to agents and overseas fairs.
- Order supplies, maintain inventory levels, receive and check orders, and authorize payment.
- Provide back‑up support to the International Student Programs Assistant, Admissions Officer, and other department members as needed.
- Stay current with changing technology, practices, and equipment.
- Monitor incoming communication and direct walk‑ins to the appropriate department.
- Perform related duties as assigned.
- Successful completion of a secondary school graduation program or equivalent.
- Completion of a post‑secondary office administration program (equivalent to 8 months).
- Minimum of one year recent and relevant clerical/administrative experience, including word processing, spreadsheets, and database applications.
- Proven ability to use and learn a variety of computer programs and applications.
- Ability to work independently and set priorities.
- Use initiative and independent judgement within scope of responsibility.
- Ability to handle high volume of detailed secretarial work quickly and accurately.
- Excellent interpersonal, communication, and organizational skills.
- Judgement, tact, and patience when providing information to foreign agents, students, and parents.
- Ability to operate a variety of office equipment.
- Physical ability to perform the duties required.
