Job Description

We are seeking a detail-oriented and organized Office Assistant to support our administrative operations with purchasing and inventory knowledge. This role combines general office duties with procurement activities, helping ensure efficient inventory control and timely supply ordering to support daily business and customer needs.

Purchasing Duties
  • Work with vendors to obtain quotes per job
  • Create P.O.’s per job; manage options for bulk ordering
  • Manage & track ordering lead times
  • Manage & enter receiving items and coordinate with shop on receipt of materials
  • Communicate with vendors and LOOK Buildings staff regarding order status, discrepancies, and returns
  • Schedule deliveries to jobsite
  • Job file management & create supporting documents per job
Administrative & Office Support
  • Perform general clerical tasks including filing, data entry, answering phones, and responding to emails
  • Maintain organized office records and documentation (create and follow up on customer files)
  • Coordinate office supply ordering and track usage
  • Provide office support to HR/Bookkeeper and Estimators
Inventory Management
  • Monitor and maintain inventory levels to prevent overstocking or shortages
  • Perform regular inventory counts and reconcile discrepancies
  • Manage inventory adjustments
  • Assist in organizing and maintaining storage areas
Qualifications
  • High school diploma or equivalent required;
    Associate degree preferred
  • Experience with purchasing and inventory management required
  • Previous experience in office administration a plus
  • Strong organizational and multitasking abilities
  • Proficient in Microsoft Office (Word, Excel), Google Suite and Quick Books; experience with inventory a plus
  • Strong communication skills, office etiquette and attention to detail
Physical Requirements
  • Ability to sit, stand, and walk for extended periods
  • Occasionally lift and move items up to 25 lbs
