Position Summary

Under general supervision, the Contract Administrator will be responsible for supporting the management and oversight of contracts and agreements related to vegetation management projects. This includes ensuring compliance with company policies, regulatory requirements, and industry standards. This role will involve close collaboration with internal teams and clients to facilitate smooth contract execution and resolution of any contractual issues. The ideal candidate will be organized, eager to learn, and able to work collaboratively with internal teams and clients.

Job Functions
  • Review publicly posted solicitations and prepare proposals
  • Prepare & assist in the preparation, review and submission of bid proposals, including reviewing scope, terms, and conditions for various entities across public and private sectors.
  • Assist in pre-bid meetings, bid tours, and pre-work meetings as necessary.
  • Verify that all required contractual clauses are included in contract documents.
  • Manage communications cross team to track life cycles of potential and awarded contracts from initiation to execution.
  • Assist in coordination with internal teams post-award to ensure contract details are effectively implemented and requirements are met on-site.
  • Maintain and retain accurate contract records and data management in accordance with company standards.
  • Collaborate with cross-functional teams to gather contract requirements, clarify contract terms and provide guidance on contract terms and conditions.
  • Assist the Contract team in ensuring timely and professional communications regarding upcoming contract opportunities, awarded contract correspondence, and close out needs.
Preferred Educations and/or Experience
  • Minimum of 5 years of experience in contract development and administration.
  • Minimum of 5 years of technical writing experience communicating technical and specialized information.
  • Previous experience in contract administration, preferably in the vegetation management, utility, or environmental sectors.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and a willingness to learn contract management software.
  • Ability to learn quickly, work independently and as part of a team.
Qualifications

Knowledge, Skills, and Abilities:

Knowledge
  • The vegetation management industry, including typical project scopes, safety standards, and regulatory requirements.
  • Microsoft Office Suite (Word, Excel, Outlook) and standard office software tools.
  • Project management and contract management processes (desired but not required).
  • local, state, federal procurement laws, regulations, & contract administration principles.
  • Knowledge of basic accounting principles and purchasing processes.
Skills
  • Strong attention to detail and ability to maintain organized records and documentation.
  • Excellent written and verbal communication skills, with the ability to clearly convey contract terms and legal language.
  • Time management skills, with the ability to prioritize tasks and meet deadlines.
  • Ability to work both independently and collaboratively as part of a team.
  • Critical thinking skills to evaluate contract terms, identify risks, and ensure compliance with policies and regulations.
  • Ability to learn new software and tools quickly, with a focus on contract management systems and project tracking tools and AI enabled technologies
  • Strong interpersonal skills for working with internal teams, clients, and vendors.
  • Ability to prioritize work, manage multiple priorities, and meet deadlines.
  • Ability to maintain integrity and confidentiality while handling sensitive information.
