Qualifications:

Applicant must be highly qualified which requires one of the following and a complete application on file to be eligible for the position:

  • Associate Degree Preferred
  • 48 college credit hours

Job Summary:

To monitor all aspects of the special education evaluation process to ensure compliance with state and federal regulations. The Evaluation Clerk will oversee timelines, support communication between staff and families, and ensure evaluations are completed accurately, efficiently, and within required timelines.

Special Knowledge/

Skills:

  • Knowledge of IDEA B laws and evaluation requirements
  • Knowledge of special education eligibility and evaluation procedures
  • Ability to interpret policies, procedures, and timelines
  • Strong organizational and time management skills
  • Strong communication and interpersonal skills
  • Ability to maintain confidentiality
  • Ability to analyze and review evaluation documents for compliance
  • Proficiency in productivity software such as Word and Excel and student information systems

Essential Duties and Responsibilities:

  • Receive and process all parent requests for evaluations in compliance with established timelines
  • Track all evaluation timelines using district tracking systems
  • Maintain records and notify staff regarding required 60-day evaluation timelines
  • Track all evaluation referrals and related processes
  • Update each site administrator weekly on the status of evaluations for their students
  • Review completed evaluations for completeness and inclusion of required components using diagnostic checklists
  • Provide copies of completed evaluations to parents at least two days prior to scheduled eligibility determination team (EDT) meetings
  • Upload and file parent consent and related documentation on a daily basis
  • Notify ancillary staff and diagnosticians of evaluations and timelines as appropriate
  • Assist school staff, ancillary providers, and administrators with evaluation-related documentation and compliance requirements
  • Maintain accurate and up-to-date records related to evaluations and timelines
  • Support district evaluation and eligibility documentation processes
  • Maintain confidentiality of all student and district information
  • Perform other duties as assigned

Safety and Health:
Knowledge of universal hygiene precautions (blood borne pathogens, body fluids, etc.)

Physical Requirements:

  • Walking, standing, sitting, bending, kneeling, squatting, climbing stairs, speaking and listening
  • Reaching with hands and arms, using fingers/hands to handle or feel
  • Vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
  • Carrying, lifting, and moving up to 25 pounds may be required
  • Reasonable accommodations may be made as required by ADA

Working Conditions:

  • Maintain emotional control under stress and work with frequent interruptions
  • Some district wide travel may be required
  • Occasional irregular working hours
  • Ability to work in varying environments and conditions
  • Ability to work independently with minimal supervision

Terms of Employment:
Salary and work year according to current schedule

Performance of this job will be evaluated in accordance with provisions of the Board of Education's policy on evaluation of professional personnel
