instructional services office coordinator

coordinates daily administrative tasks and special projects for the office of instruction. Integral role involved in training instructional administrative roles.

salary range: $21.29 - $31.93

essential functions & responsibilities
  • 20% | performs clerical duties such as collecting and distributing department correspondence, preparing documents which may be complex or sensitive in nature, updating department filing, sorting, faxing, and distributing information across the college and to external partners.
  • 20% | assists senior leadership with special projects. Maintains files on specialized assignments within the division or office.
  • 15% | leads in organizing the work flow of instructional services assistants-to include shared workflow between all instructional deans and directors.
  • 15% | performs advanced accounting tasks, such as entering requests for purchase orders and entering invoices to be paid from the proper account. Maintains or retrieves budget-related information as needed. Ensures instructional services documents are created, maintained, and organized (faculty credentials, state reports, etc.)
  • 10% | greets and directs guests to the appropriate person; provides quality customer service by answering questions and providing accurate information about the college and its services. Uses effective communication skills to receive and respond to escalated complaints.
  • 10% | maintains schedules for individuals, meetings, conference rooms, and/or special events; coordinates travel arrangements as needed.
  • 5% | assists with meetings and special events: sends invitations, makes reservations, prepares materials, orders refreshments, records
  • 5% | performs other job-related duties as assigned.

knowledge and skills
  • experience: two years to five years of similar or related experience.
  • education: a bachelor's degree.
  • interpersonal skills: courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the college for purposes of giving or obtaining information, building relationships, or soliciting cooperation.
  • other skills: proficiency in word processing, spreadsheet software, and database experience required (ms office products preferred).
  • excellent written and verbal communication skills. Ability to produce detailed, highly accurate work.
  • physical requirements: the work is typically sedentary. However, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to do the work.
  • work environment: regular exposure to favorable conditions such as those found in a typical office.
