This important role within the Inbound Department at Asian Trails Indonesia will be responsible for managing the complete reservation process, starting from receiving requests from travel agents abroad, mainly French-speaking clients, preparing offers and quotations, timely follow-up, and booking all services, hotels, and suppliers throughout Indonesia. The role will also involve coordinating with clients, suppliers, and internal teams to ensure smooth and efficient handling of reservations and travel arrangements.
The position will also contribute to maintaining strong relationships with overseas partners and suppliers, ensuring high service standards, and supporting the overall performance of the Inbound Department.
Overall ResponsibilitiesResponsible for communication and maintaining good relationships with overseas travel agencies and tour operators.
Preparation of itineraries and quotations.
Fully understand the range of sustainable products available and encourage clients to include relevant ones within their programs.
Invite agents to take part in our Refillable Water Bottle and Carbon Offsetting initiatives.
Sending reservation requests to hotels and land service providers throughout Indonesia.
Following up on sent-over programs.
Ensuring that all relevant data is uploaded to Asian Trails’ administration system.
Coordinating with the operations department at our offices for booking land services.
Handling reservations between suppliers and hotel representatives.
Following up on payments with customers.
Responsible for reservation and contracting activities with suppliers and hoteliers.
Supporting colleagues and contributing to the smooth workflow of the Inbound Department.
Working closely with colleagues from other departments and offices within the Asian Trails Group.
Handling special requests, events, and out-of-office meetings with customers when required.
General administration tasks, as outlined by the Inbound Manager.
Taking responsibility for assigned accounts, programs, or projects and ensuring they are handled efficiently and within deadlines.
QualificationsBachelor’s degree in the hospitality industry.
Minimum 2 years of experience in a travel and tourism company.
Good command of English – both verbal and in writing is essential. Being able to speak, write, and understand French is seen as an advantage.
Experience with FIT/individual travel and GIT/series bookings is a prerequisite.
Experience with Destination Management software is an advantage.
Excellent command of Microsoft Office (Word, Excel, Outlook) applications and computing skills.
Able to work under pressure, meet tight deadlines, and work flexible hours during peak season.
Able to work independently as well as part of a team.
A “Can Do” attitude and positive thinking, including creative thinking, is an asset.
Strong organizational, communication, and problem-solving skills.
