Department SummaryThe Department of Philosophy and Religion at the University of North Texas has 12 faculty of twelve, 2 staff, and 2 student workers. We have an undergraduate programs in philosophy and religion and a graduate (MA and PhD) program in philosophy with approximately 45 students. We are located in the EESAT Building on Mulberry Street and Avenue
C.
This position acts as the administrator for the departments graduate program.
Responsibilities include:
communicating with prospective and current students, the direct and accurate administrative supervision of student progress through the graduate program, assisting departments annual admissions process, and consistent coordination with the Director of Graduate Studies, Department Chair, Administrative Coordinator, CLASS, and the Toulouse Graduate School, and all other appropriate offices.
Associate's degree and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge,Skills and Abilities
Exceptional customer service skills. Intermediate Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple assignments effectively.
Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.
- Track and support progress in the program; identify upcoming milestones for graduate students, inform students of particular requirements belonging to each milestone; manage paperwork to record progress; create and maintain filing system. Assist graduate students with registration, schedule changes, and special requests on a daily basis. Act as first point of contact for incoming and/or newly admitted graduate students; assist in the preparation of required forms, degree plans, and provide administrative support as needed by the DGS and Chair.
- Clearly communicates with students, faculty members and administration to ensure accurate and timely submission of new degree plans. Accurately collect, distribute, and file all paperwork pertaining to graduate students. Maintain where each grad student is at a glance on the Grad student data sheet. With Graduate Director update spreadsheets for funding lines in graduate program.
- Direct and supervise the daily duties of hourly student employee(s). Maintain monthly copy counts. Schedule conference room for departmental meetings and events. Assist AC with event participants, scheduling rooms, arranging for technical equipment as needed and organize publicity for the event/person as needed.
