The Deputy Clerk I performs specialized clerical, administrative, and secretarial work in an assigned department.
Responsibilities- Answer telephone and greet visitors; provide information or refer inquiries to appropriate personnel; route incoming calls and record messages; respond to emails and faxes as necessary.
- Utilize computerized data entry equipment and various word processing and file maintenance programs to enter, store, and/or retrieve information; maintain pertinent files and records; scan and copy documents as necessary; ensure files are complete and accurate.
- Process incoming and outgoing mail, including preparing photocopies and collating materials; distribute mail to appropriate department or employee.
- Balance the cash drawer daily and prepare related reports on a daily and weekly basis.
- Screen applications for services, determining validity or correctness of the application to issue certified copies of birth certificates, death certificates and marriage licenses; screen applicants for birth and death records to determine eligibility to obtain such documents.
- Record legal documents; analyze and evaluate submitted documents for accuracy and inclusion of all legal requirements.
- Collect court costs and fees.
- Scan all recorded documents, including birth and death certificates and marriage licenses; perform verification process and scrutinize captured image for accuracy, completeness, and image quality; manually index the records after scanning.
- Open and assign criminal cases to various courts and deliver to the courts for further processing.
- Perform passport services for U.S. citizens.
- Regular and punctual attendance is required.
- High School Diploma or GED and a minimum of one year of experience in a related field; or an equivalent combination of education and related experience.
- Completion of some college-level coursework is preferred.
- Specific certifications related to the area of assignment may be required for this position.
- Performs other related duties as required.
The primary location for this position is Carrollton. At times this position may require some travel to other satellite locations.
