Position Overview

This position implements and manages a variety of Math Department programs and activities, providing front office support, managing administrative duties for the Mathematics graduate program (approx. 60 master’s and PhD students), coordinating support for department visitors, managing calendars and publicity, and coordinating the department’s social media presence.

Minimum Qualifications

Associate’s degree and two years of office administration experience; or any equivalent combination of education, training, and experience.

Preferred Qualifications

Associate's degree with two years experience in a college/university setting, ability to communicate effectively both orally and in writing, ability to work without close supervision, proficient in Microsoft Office, experience with People Soft a plus, and experience with Adobe Photoshop/Illustrator a plus.

Job Duties
  • Maintain office, classroom, and lab supply inventories; conduct monthly inventory and order supplies as needed.
  • Submit facility work orders for the department and manage surplus requests.
  • Maintain office hours and name plates; update website with current office hours each semester.
  • Maintain electronic resource content (TV monitors); assist with updating social media accounts (Facebook, Twitter, Instagram, You Tube).
  • Create posters and send announcements for departmental events.
  • Responsible for purchasing for the department using a purchasing card and following university guidelines; enter purchases in Concur, attach receipts weekly, ensure monthly deadlines are met.
  • Assist with electronic database resources (Perceptive Content) including scanning documents.
  • Receptionist duties: greet visitors as first point of contact, answer phones, provide classroom supplies, direct visitors to appropriate offices, communicate via email and in person with customers, students, parents, faculty, and staff.
  • Direct student assistants for daily errands and tea service as needed; perform annual physical inventory and handle computer equipment.
  • Manage all administrative duties related to the Mathematics Graduate Program.
  • Other duties as assigned.
Physical Requirements
  • Communicating with others to exchange information.
  • Lifting and moving objects up to 20 pounds.
  • Sedentary work that primarily involves sitting/standing.
Environmental Hazards

No adverse environmental conditions expected.

Work Schedule

Monday – Friday (8 AM – 5 PM)
