Deputy Clerk I
The Deputy Clerk I performs specialized clerical, administrative, and secretarial work in an assigned department.
Examples of duties include:
- Answering telephone and greeting visitors; providing information or referring inquiries to appropriate personnel; routing incoming calls and recording messages; responding to emails and faxes as necessary.
- Utilizing computerized data entry equipment and various word processing and file maintenance programs to enter, store, and/or retrieve information; maintaining pertinent files and records; scanning and copying documents as necessary; ensuring files are complete and accurate.
- Processing incoming and outgoing mail, including preparing photocopies and collating materials; distributing mail to appropriate department or employee.
- Balancing the cash drawer daily and preparing related reports on a daily and weekly basis.
- Preparing, issuing, and processing paperwork, including, but not limited to, citations, subpoenas, temporary restraining orders, notices, orders to appear, and writs; receiving filed documents; scanning documents; entering into software program.
- Collecting court costs and fees.
- Transferring in and out cases from other counties; consolidating as necessary.
- Accepting documents for filing in the District Clerk's office; verifying that all required supplemental forms have been completed and submitted at the time of filing.
- Reviewing e-filing submissions online and accepting or rejecting as necessary; processing e-paperwork accepted paperwork.
- Communicating with local law enforcement agencies in regards to protective orders and other orders of the court.
- Performing other related duties as required.
Minimum qualifications include:
- High School Diploma or GED and minimum one year of experience in a related field; or an equivalent combination of education and related experience required.
- Completion of some college level course work preferred.
- Specific certifications related to the area of assignment may be required for this position.
- Bilingual in English and Spanish preferred.
