Wage/Hour Status: Nonexempt
Pay Family: Clerical/Paraprofessional
Pay Grade: 04
Minimum Hourly Salary: $18.90
Minimum Annual Salary: $33,264
Duty Days: 220 days per year
Primary Purpose:
Organizes and manages the routine work activities of this administrative department office and provides clerical services to the department head and other staff members.
Qualifications:
Education and Certification
- High school diploma or equivalent
Experience
- Three (3) years of secretarial or clerical experience
- Five (5) years of secretarial or clerical experience (preferred)
- Experience in a public education environment (preferred)
Special Knowledge and Skills
- Ability to handle multiple tasks simultaneously
- Ability to meet established deadlines
- Proficient skills in keyboarding, word processing, and file maintenance
- Ability to use personal computer and software for word processing and to develop spreadsheets and databases, including but not limited to Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace
- Excellent organizational, communication (written and verbal) and interpersonal skills
- Ability to exercise good judgment in handling confidential information
- Professional demeanor and positive public relations skills
- Ability to be self-directed, addressing responsibilities without waiting for instruction
- Proactive in seeking clarification and/or answers when assignments are unclear.
Major Responsibilities and Duties:
Residential Facilities Responsibilities and duties
- Prepares correspondence, forms, reports, etc., for the department head and other department staff members using personal computer.
- Compiles pertinent data as needed when preparing various state and local reports.
- Maintains physical and computerized departmental files.
- Maintains student records as needed.
- Performs routine bookkeeping tasks for the department, including simple arithmetic operations.
- Assists with the preparation of purchase orders and payment authorizations.
- Monitors and processes personnel time records, including leave requests and reports; compiles information and submits to central office.
- Answers incoming calls, takes reliable messages, and routes to appropriate staff.
- Maintains a schedule of appointments and makes travel arrangements for department staff.
- Receives, sorts, and distributes mail and other documents to department staff.
Other Related Duties:
- Follows district safety protocols and emergency procedures.
- Participates in professional development, department meetings, and special events as assigned.
- Performs other duties as assigned

Tools and Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours; occasional district-wide and statewide travel
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
