We have an immediate need for an eBilling Specialist to support our Finance Department in our Denver office. The eBilling Specialist reports to the eBilling Manager and works closely with the eBilling team, billing team, and attorneys across the firm.
Essential Duties and Responsibilities:- Proactively monitor potential errors that may result in the rejection of e-bills.
- Analysis of time and disbursement entries to ensure compliance with client billing guidelines and eBilling system requirements.
- Process manual time/cost edits in eBilling Hub, such as: narratives, adjustments, rate changes.
- Ability to directly within LEDES files to manually prepare, modify, and transmit invoices as needed.
- Ability to work within eBilling Hub platform to generate LEDES files and manipulate invoices for transmission.
- Submit and manage invoices through the eBilling Hub and various client-specific eBilling platforms.
- Monitor invoice submissions for any potential issues such as reductions or rejections.
- Research invoice reductions and rejections and recommend appropriate resolution strategies, including appeals or write-offs.
- Knowledge of the eBilling/billing process for insurance clients to ensure compliance with billing requirements.
- Submit timekeeper rates for approval to various eBilling vendor sites, create and maintain allowed billers lists within 3E accounting system.
- Assist with timekeeper rate compilation and submission during annual rate seasons.
- Work directly with Billing Attorneys and legal assistants to ensure accurate set-up for eBilled matters. This includes, task codes, internal client matter numbers and various other billing requirements.
- Work closely with client contacts and eBilling vendors to obtain matter access, establish billing profiles, and resolve eBilling-related issues.
- Create, maintain, and implement new user accounts within eBilling vendor sites and the eBilling Hub.
- Collaborate with eBilling vendor technical support teams to resolve invoice submission issues.
- Appropriately respond to emails and voicemails within a one-hour window.
- Assist with preparation and submission of budgets, status reports and accruals to various e-Billing sites and clients.
- Provide guidance to the team on an ongoing basis by setting an example for effectively handling assigned invoices.
- Assist attorneys and staff with access and navigation of eBilling vendors.
- Demonstrate solid judgement and professionalism when executing Billing Attorney requests, and when interacting with team members and senior management.
- Proactively seek and provide recommendations to improve existing eBilling processes, training, and resources.
- Follow escalation protocol if unable to respond to clients’ questions regarding invoices or other billing concerns.
Preferred Qualifications:
- Bachelor's degree in accounting, finance, or a related field preferred; equivalent combinations of education and experience will be considered.
- Ability to demonstrate a high level of business acumen and professionalism when working with internal and external clients at all levels.
