Colorado PTA Bookkeeper
The Colorado PTA Bookkeeper maintains the association's day-to-day financial records in Quick Books under the direction of the Treasurer. The Bookkeeper handles transaction entry, payroll, accounts payable and receivable, investment entries, and monthly financial reporting, while the Treasurer retains all approval, review, and signing authority. The role is designed to preserve a clear separation of duties: the Bookkeeper records and reports;
the Treasurer authorizes and signs.
Key Responsibilities
- Process bi-weekly payroll through Quick Books
- File all associated payroll taxes via Quick Books
- Maintain employee tax documentation (W-4 and related filings)
- Enter bills into Quick Books
- Prepare bills for payment (payment is approved and authorized by the Treasurer prior to disbursement)
- Record all membership dues and deposits in Quick Books
- Enter annual investment transactions in Quick Books
- Track investments and prepare quarterly investment reporting
- Prepare monthly financial statements for the Treasurer
- Prepare financial statements as needed for the Executive Committee and Board of Directors Support the Treasurer in distributing year-to-date budget and actual figures to the Board ahead of meetings
Qualifications
Required
- Demonstrated bookkeeping or accounting experience, including accounts payable, accounts receivable, and payroll
- Proficiency with Quick Books
- Experience filing payroll and related taxes
- Strong attention to detail and accuracy in financial recordkeeping
- Ability to meet recurring monthly and bi-weekly deadlines
- Discretion and confidentiality with financial information
Preferred
- Experience with nonprofit or 501(c)(3) bookkeeping
- Familiarity with investment tracking and reporting
- General knowledge of IRS regulations applicable to nonprofits
- Experience supporting a volunteer treasurer or finance committee

Approximately 5–8 hours per month Compensation: $50/hour, not to exceed $400/month
Reports to:
Treasurer (with oversight from the Finance Committee)
