Position: Staff Accountant (3+ years of experience)

Description: Aquionix, Inc. (Aquionix) provides environmental, health and safety consulting (EHS) services to a variety of business sectors including mining, manufacturing, and general industry. We provide exceptional customer service and are known for providing solutions that exceed our customers’ expectations.

To support our growing business, we are seeking a Staff Accountant with a 3+ years of experience and willingness to support the team’s administrative tasks as needed. The ideal candidate will possess strong financial acumen and a thorough understanding of financial accounting principles. This position reports to the Finance and Administration Director and will work closely with our Leadership Team and Project Managers to support the financial operations that allow the Aquionix environmental, health and safety consulting business to continue to run smoothly.

This is an in-office position as it requires significant interface with the team. Aquionix is looking for someone who is interested in a long-term opportunity - someone who wants to grow with our company in the years to come, brings a dynamic personality, and is ready to jump in and help out wherever the team needs it.

Essential roles and responsibilities include:

1. Supporting various processes related to invoicing, such as:

  • Review of employee timesheets and expense reports for accuracy and policy compliance.
  • Expense reports processing, review, and approval.
  • Generation and communication of accruals to customers in accordance with project timelines.
  • Processing and distribution of draft invoices, inclusive of collaboration with project managers to finalize billing.
  • Processing and distribution of final invoices to clients in a timely and accurate manner upon completion of draft invoice approvals.
  • Monitoring and tracking of purchase orders (POs) to support Project Managers and in support of accurate invoicing to customers.

2. Supporting tax compliance, deadlines, and cash flow, such as:

  • Preparation and remittance of tax payments across multiple states, complying with tax regulations.
  • Conducting monthly bank reconciliations and investigation of discrepancies, as needed.

3. Assisting with various client driven requirements and internal programs/processes such as:

  • Assisting with periodic reviews of internal financial policies and procedures.
  • Supporting the account receivables (AR) and accounts payable (AP) processes.
  • Supporting employee payroll and benefits administration.

4. Administrative functions:

  • Help coordinate 3rd party IT services along with new computer and software setup for new employees
  • Maintenance and related update of customer-required safety and time reporting accounts, such as ISNetworld and BROWZ (Avetta), for compliance with customer requirements.
  • Assist with all aspects of onboarding and offboarding of employees
  • Review of consultant timesheets
  • Setting up new clients in Deltek and other aspects of the business management system

Education: A bachelor’s degree in accounting, finance, or a related field.

Qualifications: The successful candidate will have the following experience:

  • 3+ years of relevant accounting experience, preferably in a professional services or consulting environment.
  • Excellent analytical skills with the ability to interpret complex financial data.
  • Familiarity with multi-state tax regulations and compliance.
  • Proficient in Microsoft Excel, including core formulas, pivot tables, and reporting functions.
  • Proficient in Outlook, Word and PowerPoint.
  • Proficient with accounting software (Deltek or similar).
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and in a team environment.
  • Ability to communicate effectively across multiple departments.
  • Familiarity with ISNetworld, BROWZ/Avetta, and OSHA reporting is a plus.

The successful candidate must have a clean driving record, pass a criminal background check, and pass a drug and alcohol screening prior to employment.
