Construction Project Accountant Position Summary
The Construction Project Accountant is responsible for managing the financial administration of construction projects from project setup through closeout. This position works closely with Project Managers, Project Engineers, subcontractors, vendors, and company leadership to ensure accurate job costing, contract administration, billing, accounts payable, accounts receivable, payroll support, and project financial reporting.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects simultaneously while maintaining accurate accounting records and supporting the operational needs of the project team.
Project Accounting- Establish and maintain project accounts, budgets, cost codes, and job cost tracking.
- Monitor project costs and assist Project Managers with budget oversight and cost control.
- Prepare and process owner billings, progress invoices, time-and-material invoices, and change order billing.
- Track and reconcile contract values, change orders, retainage, and project commitments.
- Maintain Work-in-Progress (WIP) schedules and assist with month-end project financial reporting.
- Review project expenditures to ensure costs are correctly allocated to projects and cost codes.
- Analyze project financial performance and identify cost variances or potential budget concerns.
- Assist management with forecasting project costs, cash flow, and profitability.
- Process vendor invoices and subcontractor pay applications accurately and timely.
- Review invoices for proper approvals, coding, and supporting documentation.
- Track subcontractor compliance requirements, including insurance certificates, W-9s, contracts, and lien waivers.
- Maintain subcontract and purchase order logs.
- Coordinate vendor and subcontractor communications regarding payments and documentation.
- Prepare and distribute customer invoices.
- Monitor collections and outstanding receivables.
- Reconcile customer payments and maintain accurate account records.
- Assist with collection efforts and resolve billing discrepancies.
- Track contract balances, retainage receivable, and project cash flow.
- Review and process employee timesheets and payroll information.
- Assist with payroll reporting and labor cost allocations.
- Support monthly, quarterly, and annual financial closing activities.
- Assist with general ledger reconciliations and journal entries.
- Maintain accurate accounting records and support annual audits and tax preparation.
- Ensure compliance with federal, state, and local reporting requirements.
- Maintain complete and accurate project files, contracts, change orders, subcontracts, purchase orders, and project correspondence.
- Support Project Managers with contract administration and project documentation.
- Review executed contracts and subcontract agreements for completeness and compliance.
- Ensure all required documentation and approvals are properly maintained.
- Assist with project closeout documentation and record retention.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Equivalent combination of education and construction accounting experience will be considered.
- 3-5 years of accounting experience required.
- Construction accounting experience strongly preferred.
- Experience with job costing, progress billing, retainage, and subcontract management preferred.
- Experience working in a general contractor or construction services environment preferred.
