Job Summary

The Development Assistant provides essential administrative, operational, and coordination support to the Vice President of Resource Development and the broader Resource Development team. This part-time role plays a critical behind-the-scenes function in ensuring the smooth day-to-day operations of the department, supporting fundraising activities, donor engagement efforts, and internal team workflows.

Approximately half of the role is dedicated to supporting the Vice President of Resource Development through executive-level administrative support, including calendar and meeting management, email coordination, donor interaction documentation, expense and invoice tracking, and communications review. The remaining time supports the Resource Development team with shared calendar coordination, internal communications, donor acknowledgment preparation, database support, expense tracking, and general development operations.

Role & Responsibilities

Vice President of Resource Development Executive & Administrative Support

  • Provide high-level administrative support to the Vice President of Resource Development, including comprehensive executive calendar management; scheduling and coordinating internal and external meetings, one-on-one meetings, and donor and partner visits; resolving scheduling conflicts; and proactively protecting focused work blocks to align with weekly priorities and support effective time management.
  • Manage and organize email communications, including responding to urgent messages daily, replying to priority messages within 48 hours, and routing messages as appropriate.
  • Enter and maintain donor email exchanges, meeting details, notes, and related communications in Raiser’s Edge—including calls, voicemails, and texts, ensuring timely, accurate, and consistently formatted records
  • Submit and track expense reports and invoices in a timely manner, ensuring accuracy and compliance with organizational policies.
  • Request, collect, and track weekly and monthly reports from relevant departments and ensure timely submission.
  • Review and edit internal and external communications for grammar, clarity, and accuracy prior to submission or distribution.

Resource Development Operations & Database Support

  • Maintain shared Resource Development calendars, deadlines, meeting logistics, and meeting minutes to support effective team workflow, coordination, and accountability.
  • Draft simple internal communications, reminders, and follow-ups to support team coordination and accountability.
  • Monitor shared inboxes and route inquiries to appropriate Resource Development staff in a timely manner.
  • Assist with generating donor acknowledgment letters, including mail merges, printing, stuffing, and mailing.
  • Support mass data updates by preparing spreadsheets and uploading general constituent data (e.g., contact updates, event attendance, basic attributes) using established templates and procedures, under the guidance of the Database Manager.
  • Cross-train to provide backup support for gift processing tasks during peak periods or staff absences, following established procedures and under direct supervision
