The Permitting & Compliance Administrator supports Fiore & Sons’ construction operations by ensuring projects are properly permitted, documented, and compliant with applicable local, state, and federal requirements. This role serves as a key coordination point between project teams, municipalities, regulatory agencies, and internal partners to help keep projects moving forward while reducing risk and preventing delays.

This position requires strong organization, attention to detail, proactive communication, and an ownership mindset consistent with Fiore’s ESOP culture.

Compensation

TOTAL COMPENSATION

$26.83 to $37.60 per hour

Actual compensation will be based on experience, qualifications, and internal equity.

Essential Duties and Responsibilities

Permitting & Regulatory Coordination

  • Prepare, submit, track, and maintain construction permits, licenses, and approvals.
  • Coordinate with municipalities, utility providers, inspectors, and regulatory agencies.
  • Track permit conditions and expiration dates; proactively resolve issues.
  • Communicate permitting requirements and inspection needs to Project Managers and field teams.
  • Support preconstruction efforts by identifying permitting needs early.

Compliance Administration

  • Maintain accurate compliance documentation related to construction, environmental, safety, and contractual requirements.
  • Support compliance with OSHA, environmental regulations, and local jurisdictional standards.
  • Assist with audits, inspections, and documentation requests.

Documentation & Record Management

  • Organize and maintain digital and physical records for permits, inspections, approvals, and correspondence.
  • Update internal tracking systems and spreadsheets with accurate information.
  • Ensure documentation meets Fiore standards for accuracy, accessibility, and audit readiness.

Cross-Functional Support & Communication

  • Partner with Project Managers, Superintendents, Safety, Estimating, and administrative teams.
  • Provide regular status updates on permitting and compliance items.
  • Follow through on open items to completion.
Qualifications
  • Superb attention to detail and accuracy in recordkeeping and documentation
  • Strong verbal and written communication skills, with the ability to communicate effectively with individuals at all levels of the organization
  • Exceptional organizational and time management skills
  • Initiative and ownership with the ability to work independently as well as in a dynamic, team-based environment
  • Excellent EQ and interpersonal skills with the ability to provide exceptional customer service to all stakeholders
  • Basic knowledge of MS Word, Outlook, and Excel Spreadsheets with general technical literacy.
  • Construction industry experience preferred
  • Valid driver’s license
  • Willing to learn software to capture data and attend continuing education courses.
  • Bilingual in English and Spanish is a plus
  • Previous experience in an administrative or clerical role is a plus
Education and/or Experience

Required: High School education with strong clerical skills.

Physical Demands
  • Primary functions require the physical ability and mobility to work in an office and stand or sit for prolonged periods of time. Occasional bend, kneel, crouch, reach, and twist; to lift, carry or push, and/or pull light to moderate amounts of weight not to exceed 30 pounds.

    Some outdoor activity to support field activities is expected; ability to stand or walk for extended periods of time on various terrain, including slopes and uneven ground.
