JOB PURPOSEThe Program Coordinator provides essential administrative and logistical support to the Chamber’s Leadership Foundation programming team, ensuring smooth execution of program initiatives. This support role will work across the department to assist with day‑to‑day operations and support program delivery providing Program/Event/Event Administrative support.
RESPONSIBILITIES- Assist with program logistics including venue arrangements, catering, materials preparation, and technical setup as directed by Manager of Programs.
- Organize and submit all expenses for the programs team utilizing the Chamber’s electronic system.
- Take regular inventory and order all needed supplies for all programs
- Attend all member, B:
Civic and other department events to offer staffing support as needed. - Order all catering and manage catering relationships for all programs of the Foundation
- Prepare and distribute program materials, handouts, and digital resources
- Craft post event wrap‑up summaries and submit to Manager of Programs for distribution
- Assist in confirming speaker schedules and writing thank you cards
- Confirm logistical details for program days such as room set up, parking and wifi availability
- Assist the events registration and check‑in processes
- Serve as backup point of contact for program participants, responding to inquiries and requests as requested
- Create and distribute program communications, including schedules, updates, and reminders
- Provide support to all program committees and project groups
- Create calendar invites for all programs and send to all program participants
- Liaise with marketing, communications, and events team for all social media and marketing support for program promotion as directed by the Manager of Recruitment
- 2-3 years of program coordination or administrative experience
- Exceptional organizational skills and attention to detail
- Strong proficiency in Microsoft Office Suite. Excellent written and verbal communication skills
- Experience with virtual meeting platforms (Zoom, Teams, etc.)
- Demonstrated customer service orientation
- Initiative‑taking and proactive approach to responsibilities
- Strong multi‑tasking abilities with excellent time management skills
- Problem‑solving mindset with ability to anticipate needs

This is an in‑person role set in a business office environment with professional work attire required in the office and for attendance of all programs, events and/or department meetings. Responsibilities may require work outside the hours of 8:00 a.m. to 5:00 p.m. to help staff events. These off‑hour occasions are typically planned and known in advance.
PHYSICAL REQUIREMENTSPhysical requirements of the job include desk/computer work (70% of the time); lifting up to 30 pounds may be required to perform the job duties.
Hourly pay: 26.00
