The Role

The Maintenance Coordinator I helps maintenance teams and directors in a region or group of communities. The role focuses on administrative support, compliance, financial tracking, vendor coordination, and record keeping. You’ll make sure processes run smoothly, budgets are monitored, and projects are completed on time.

Key Responsibilities
  • Financial Support (30%)
    • Process invoices and track budgets.
    • Report on variances, accruals, and disputed invoices.
    • Analyze expenses to spot trends or issues.
  • Operations & Admin Support (30%)
    • Act as a communication link between departments.
    • Help with safety initiatives (meetings, compliance checks).
    • Keep maintenance and environmental records updated.
    • Track quality metrics (e.g., move-in success rate) and follow up with teams.
  • Project & Vendor Management (20%)
    • Assist with contracts and statements of work.
    • Coordinate large projects and RFPs.
    • Work with vendors to schedule and track progress.
    • Support capital planning and monitor insurance/contract compliance.
  • Regional Admin Support (15%)
    • Organize staff meetings, schedules, and reports.
    • Track preventative maintenance and ticket completion.
  • Team Support (5%)
    • Train and guide Community Coordinator I staff.
Qualifications
  • Education: High school diploma required; bachelor’s preferred.
  • Experience: 2–3 years in administration; property management experience is a plus.
  • Skills: Strong communication, organization, multitasking, and problem-solving.
  • Technical: Proficient in Microsoft Office; able to create reports and presentations.
  • Other: Attention to detail, ability to meet deadlines, and basic math skills.
Work Environment
  • Office-based role with occasional physical activity (lifting up to 25lbs, climbing stairs/ladders).
  • Normal office setting with standard equipment.
