Provide clerical/administrative support to the Accounting Department. Perform basic accounting functions at the direction of the accounting staff.
Wage Range: $20.00 to $24.00 per hour DOE
Key Responsibilities (Essential Duties and Functions)- Provide a full range of administrative and accounting support including but not limited to processing payments, handling cash receipts, credit card transactions, data entry, scanning invoices, mailings, tracking and logging payments, preparing and transporting bank deposits, etc.
- Key cash transactions accurately.
- Identify and research discrepancies with follow through to resolution.
- Compile and prepare various daily, weekly, or monthly reports as directed.
- Provide customer service through phone calls, emails and walk‑in inquiries.
- Assist in the managing of the record retention process. This function includes the sorting, filing and scanning of documents where necessary.
- Assist with processing new credit applications and obtaining credit references on prospective customers.
- Update and maintain customer credit documentation and account information.
- Process corrections to clear balances and resolve customer payment discrepancies and provide accurate accounting records to ensure a clear audit trail is maintained.
- Prioritize multiple tasks and provide flexibility when requested to work on special projects.
- Comply with Sarbanes‑Oxley controls and provide documentation; when necessary
- Assist with miscellaneous administrative office tasks and assist accounting department as needed.
- Provide back up coverage for receptionist, scale house or other accounting positions as needed.
- Other duties as assigned.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Education/Experience- High School diploma or general education degree (GED) required.
- Associates degree (A.
A.) or equivalent from two‑year college or technical school preferred; or six months to one‑year related experience and/or training; or equivalent combination of education and experience.
- Must be 18 years in age or older.
- Must pass pre‑employment drug screen and criminal background check.
- Report to the office dressed appropriately and ready to begin work at the designated start time.
- Strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
- Willingness to work independently within a team environment and assist the team with other duties as required.
- Regular and predictable attendance at assigned times is required.
- Proficient in Microsoft Office products, especially Excel.
- Effective verbal and written communication skills and an ability to work with management.
- Ability to operate office equipment including, but not limited to: computers, copiers, ten‑key adding machine, printers, fax machine, etc.
- Ability to analyze issues independently and complete daily activities according to work schedule
- Ability to perform under deadline pressure.
- Ability to read, comprehend, and write simple instructions, short correspondence, and memos.
- Ability to perform basic mathematical skills such as addition, subtraction, and multiplication.
- Ability to apply common sense understanding to carry out written or oral instructions.
- Ability to work independently without constant supervision.
