A rapidly growing midsize law firm is seeking a Billing and Administrative Coordinator to join its expanding accounting and administrative team. This is a high visibility role that supports billing operations while working closely with attorneys and internal leadership. What You Will Do- Prepare, edit, and finalize monthly client invoices with a strong focus on accuracy and timeliness
- Review time entries, rates, prebills, and billing guidelines to ensure compliance
- Support daily time entry and billing procedures for attorneys and staff
- Assist with electronic billing submissions, monitor rejections, and track invoice status
- Partner with internal teams on collections efforts and follow up on outstanding balances
- Maintain accurate billing records, client information, and organized documentation
- Process billing adjustments, transfers, and write offs during the prebill cycle
- Support month end, year end, and ad hoc reporting needs
- Review and reconcile corporate credit card statements
- Provide administrative support including reimbursements and document organization
- Respond to internal and client billing inquiries with professionalism
- Provide backup support for reception and general administrative functions as needed
- Two to four years of billing, administrative, or accounting support experience
- Law firm or professional services experience strongly preferred
- Excellent attention to detail and organizational skills
- Strong communication skills both written and verbal
- Proficiency with Microsoft Office and billing systems such as Orion or Net Docs
Associate or bachelor’s degree in accounting or related field experience
