Job SummaryUnder the direction of the Chief Executive Officer (CEO), the Executive Assistant provides high-level executive operations support to ensure the effective functioning of the executive office and Corporate Officers team. This role manages complex communications, executive workflows, Board governance support, strategic project coordination, and cross-departmental information flow.
The Executive Assistant serves as a trusted resource and key partner to the CEO — maintaining confidentiality, anticipating needs, and driving clarity, alignment, and follow-through across the organization. This position plays a central role in coordinating the systems, processes, and communications that help BGCMD deliver on its mission and strategic priorities.
Key Responsibilities Executive Operations & CEO Support (40%)- Manage executive workflows that support the CEO in driving organizational priorities, maintaining alignment with the annual operations plan, and ensuring timely follow-through on key initiatives.
- Coordinate the CEO’s schedule with a high degree of accuracy, prioritization, and judgment. Proactively prepare daily briefings and ensure the CEO is equipped with agendas, materials, and context.
- Draft, edit, and refine executive communications including emails, statements, talking points, speeches, and written responses for internal and external audiences.
- Serve as a communication liaison between the CEO and internal departments, ensuring timely, accurate, and appropriate information flow.
- Prepare or coordinate executive-level presentations and documents that support decision-making and organizational storytelling.
- Research topics and synthesize information into concise, actionable summaries for the CEO.
- Maintain the rhythm of business for the CO Team including agendas, materials, follow-up, and tracking progress on commitments.
- Manage organizational reporting, executive dashboards, and monthly progress updates tied to annual work plans; facilitate discussions on barriers, risks, and next steps.
- Track enterprise milestones, reporting deadlines, and cross-functional dependencies to support transparent and consistent communication across the CO Team.
- Support alignment between the CEO, Club Operations, Programming & Outcomes, Resource Development, Finance, Marketing & Communications, HR, IT, and Facilities on critical organizational initiatives.
- Serve as the primary administrative liaison for the Board of Directors and Board committees.
- Manage all aspects of Board support including planning, calendaring, meeting logistics, preparation of materials, and communication with Board members.
- Produce error-free Board minutes, agendas, reports, and presentations.
- Coordinate the development, accuracy, and timely release of Board books and ensure all materials are prepared and distributed at least one to two weeks in advance.
- Administer Board by‑laws, governance documents, and compliance requirements; manage updates and version control.
- Draft and distribute weekly Board updates and quarterly Board Scorecard reports.
- Maintain digital Board infrastructure including document storage systems, file organization, and communication channels.
