Hybrid Workplace Arrangement
The position is part of the department’s hybrid workplace program; however, employees are required to report to the department office on a scheduled basis and at the discretion of the supervisor, based on business need.
Salary RangeMonthly salary range: $4,450 – $5,780. Hiring salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.

This position assists the PDPA program administrator in maintaining daily operations of the PDPA department to ensure public entity funds are protected. The role includes acting as liaison with bankers and public entities regarding the PDPA, and completing various examination‑related duties for bank, trust company, IT, and PDPA examinations.
Responsibilities- Provide examination assistance by preparing workpaper folders and downloading all examination documents.
- Notify institutions of missing documents and format and mail final reports of examinations securely.
- Perform data entry of examination data and prepare quarterly reports based on post‑exam feedback.
- Assist with creating the examination schedule and support caseload managers with delegated examination items.
- Create imaged documents for the banking database.
- Assist public entities and bankers with PDPA program questions, process PDPA collateral change forms, and release pledged collateral.
- Maintain PDPA’s collateral and assessment databases and ensure accuracy of market value of securities.
- Reconciling safekeeping receipts, maintain PDPA records per retention guidelines, and process monthly PDPA reports accurately within deadlines.
- Track pricing discrepancies, violations, and record responses for PDPA/Escrow examinations.
- Maintain BIDS database for PDPA contacts, collateral, assessments, examinations findings.
- Maintain PDPA number database and review with DOLA databases.
- Monitor maturing collateral and notify banks of needed releases.
- Send first‑day letters for bank/PDPA/escrow examinations.
- Prepare and mail final examination reports.
- Send and track post‑exam surveys.
- Scan documents into the banking imaging system.
- Provide customer service, including incoming phone calls, walk‑in traffic, and division staff.
- Offer initial customer service, give general division information, referrals to other agencies.
- Forward calls to appropriate staff as needed.
- Assist in backup coverage and special projects for management staff.
There are two paths to qualify:
- Experience only: Four (4) years of general clerical/administrative experience, including: customer service with high call and email volume; data compilation/analysis; data entry; document completeness and compliance analysis; use of Microsoft Office or Google Suite.
- Education and experience: Associate’s degree in accounting, business, finance, education, communication, general studies, or related field AND two (2) years of general clerical/administrative experience with the same functions listed above.
- Or Bachelor’s degree in related field with no experience requirement.
- Fluent in Spanish (speaking, reading, writing).
- Advanced Microsoft Office and/or Google Suite experience.
- Experience working for a financial institution.
- Experience in a busy, fast‑paced regulatory environment.
- Experience handling financial transactions.
