Concierge Position Overview

Associa is currently looking for a Concierge. A Concierge is the visible point person for the business enterprise and is always available to guests and customers. They may be considered upscale, high-end information desk employees. The Concierge will need a strong familiarity with the surrounding area to provide directions.

  • Welcomes guests and new customers to the facility.
  • Performs various administrative and managerial tasks in support of the facility’s mission.
  • Creates a positive experience for guests by attending to their needs and answering questions.

Job Description and Expectations
  • Resident Interactions:
    • Treat every interaction as though it will have a permanent effect on the property’s reputation.
    • Assume vendors, technicians and anyone serving the property are treated like residents.
    • Greet every resident and guest in the lobby or elevator lobby, using their name if possible.
    • Open lobby doors frequently, especially to help residents with heavy items or looking for keys; offer to carry items up to their suite.
    • Be polite, courteous, and accommodating; listen attentively to resident requests or complaints regardless of their mood.
    • Never respond I don't know to a resident. Assure them you will research and get back to them.
    • Text residents only if they have texted first or requested texts; otherwise communicate by phone, in person or email.
    • Offer consistent high-level service to all residents, whether leasing or owning.
    • “Own” every request or situation—take initiative, be responsible for outcomes, and provide progress updates when prolonged.
  • Communication:
    • Maintain a daily log of all activities and information—either in a notebook or in email.
    • Send an email to the Property Manager detailing contractors and work performed beyond regular maintenance.
    • Keep a record of all keys, fobs, parking tags and garage remotes; no keys may be given out without payment.
    • Secure master keys as per process; they never leave the premises.
    • Send warnings about rule violations to Property Management for record keeping and approval.
    • Coordinate onsite activities among departments, contractors and residents; maintain records of communications.
    • Respond to all correspondence within 24 hours, preferably sooner.
    • Provide status updates on requested tasks to keep all parties informed.
  • Dress and Attire:
    • Dress presentably in properly pressed clothing: dress shirt, dress pants, and shoes.
  • Time and Material Management:
    • Work should be dedicated to property business; no personal phone calls or texting unless emergency.
    • Materials purchased for the property are for property use only.
    • Property laptops are for business use only; personal or social network use not allowed.
    • Remain at the desk as much as possible; if away, display an away sign.
  • Punctuality:
    • Be on time for scheduled shifts.
    • Stay for the entirety of your shift.

Compensation
  • $23.00 hourly pay; direct experience highly considered.
Requirements
  • Responsiveness to GM, board, and homeowners
  • Professional verbal and written communication skills
  • Confidentiality and discretion in performing all duties and responsibilities
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Detail orientation with a sense of urgency
