Job Title:
Legal Office Services Specialist

Location:

Denver, CO (onsite)
Duration: 12+ Months Contract (Temp to perm)
M-F (9:00 AM - 6:00 PM)


Provide operational support within a legal office environment, including document production, mail and shipping services, hospitality support, reception, records management, and office services. Handle highly confidential and time-sensitive legal documents while delivering exceptional customer service to legal professionals and executive-level personnel.

Responsibilities
  • Operate high-volume copiers, scanners, fax machines, postage meters, and related office equipment.
  • Perform document copying, printing, scanning, binding, finishing, quality control, and final review.
  • Troubleshoot copier issues, clear paper jams, perform routine maintenance, and coordinate repair services.
  • Handle sensitive and confidential legal documents with a high degree of accuracy and attention to detail.
  • Process incoming and outgoing mail, packages, shipments, faxes, and courier requests.
  • Receive, sort, distribute, and deliver mail, office supplies, and completed projects to designated locations.
  • Maintain inventory records, supply levels, billing logs, service logs, and meter readings.
  • Respond to customer service requests and provide status updates on projects and job requests.
  • Perform filing, document retrieval, archiving, records management, and document purging activities.
  • Scan documents, perform file conversion, file naming, OCR processing, file formatting, and electronic file management.
  • Manage FTP file transfers, electronic document preparation, and table of contents (TOC) creation.
  • Support document production involving Word, PDF, and Excel files.
  • Provide hospitality support, conference room setup, meeting room preparation, and reception coverage as needed.
  • Assist with shipping, receiving, packaging, and material handling activities.
  • Support building operations, including office moves, light maintenance, re-lamping, and general housekeeping duties.
  • Coordinate projects completed off-site when required.
  • Interact professionally with legal secretaries, paralegals, project managers, associates, partners, executives, and other office personnel.
  • Complete projects accurately while managing multiple priorities and tight deadlines.
  • Travel between customer buildings when required.
  • Perform additional duties as assigned.
Requirements
  • High school diploma or GED required.
  • 1 2 years of related office services experience required.
  • Minimum 2 years of legal industry experience strongly preferred.
  • Proven ability to provide an excellent customer experience through strong customer service, communication, and interpersonal skills.
  • Experience with document production, copy services, scanning, binding, and finishing preferred.
  • Working knowledge of copiers, scanners, fax machines, postage equipment, and related office technology preferred.
  • Ability to utilize hardware and software for document management, workflow support, and cost recovery functions.
  • Knowledge of shipping, receiving, mail distribution, and packaging procedures.
  • Basic electronics troubleshooting skills preferred.
  • Ability to work independently, prioritize workload, and adapt to changing business needs.
  • Strong problem-solving and troubleshooting abilities.
  • Ability to determine proper packaging methods and verify receiving documentation for accuracy.
  • Ability to read, understand, and follow technical manuals, written procedures, and delivery instructions.
  • Strong attention to detail and commitment to quality.
  • Ability to handle highly confidential and sensitive information.
  • Proficiency with Microsoft Office applications and electronic document management processes.
  • Ability to work under pressure and meet tight deadlines.
  • Flexibility to work occasional overtime, evenings, weekends, and emergency response assignments as needed.
