Position Summary

The Executive Coordinator assists with a broad range of administrative duties in support of the President and the Office of the President. The role collaborates with departments within the Office of the President, the Board of Regents, campus Chancellor offices, and internal and external constituencies. It requires professionalism, tact, and diplomacy and focuses on relationship management by understanding guests’ background and priorities to cultivate an experience that supports the President’s and CU System’s priorities.

The position reports to the Executive Assistant to the President and is a .80 FTE exempt position with a standard schedule of Monday through Thursday onsite at 1800 Grant Street in Denver.

Where You Will Work

Applicants must be Colorado residents or able to relocate to Colorado within a month of starting employment. The role is expected to work onsite at 1800 Grant Street in Denver Monday through Thursday. Leadership may adjust in‑office work requirements with a minimum of three months’ notice before any change can be implemented.

Duties and Responsibilities
  • Assist with the coordination of the President’s calendar and provide backup to the Executive Assistant regarding daily management, appointment changes, and preparation of materials.
  • Prepare daily briefing packets for the President, ensuring high accuracy and clarity.
  • Ensure the President’s daily schedule runs efficiently, escorting guests and colleagues in and out of the office with professionalism.
  • Understand the backgrounds and priorities of guests, greet and escort them within the building, and facilitate connections across departments.
  • Coordinate specific meeting needs such as room reservations, technology requirements, catering, and restaurant reservations.
  • Maintain a high-level working knowledge of departments across System Administration.
  • Assist with regular USPS mail addressed to the President.
  • Manage the OOTP email account, track inbox activity, determine appropriate disposition, and follow up with constituents.
  • Write congratulatory notes on behalf of the President and develop appropriate language for recognition.
  • Prepare correspondence, notes, and other written materials as needed.
  • Run errands on behalf of the President, including driving to meetings, picking up meals, moving vehicles, and delivering documents.
  • Purchase supplies for the Office of the President.
  • Help manage scheduling for conference rooms on the 8th floor (the Executive Suite).
  • Assist with travel arrangements including airfare, hotel accommodations, vehicle rentals, and event scheduling.
  • Prepare travel and other reimbursements for the President, including complex travel situations.
  • Develop a plan with the Executive Assistant to ensure the President makes appearances at campus activities, balancing athletics, productions, and events across campuses.
